Summary of duties: The Front Office Administrator will be responsible for a wide range of functions:

· Provide a professional and inviting first impression to all callers and visitors to the BBSI corporate office including clients, partners, board members and employees.

· Screen and direct phone calls and provide general information to callers.

· Collect, sort and distribute all corporate mail, front desk deliveries, and faxes to the appropriate staff members. Prepare outgoing mail and packages for shipping.

· Maintain office supply inventory, place and expedite supply orders, verify receipt of supplies and other special requests.

  • Ensure operation of front office equipment (copier, postage, etc.) by completing preventive maintenance requirements, maintaining equipment inventories, evaluating new equipment and techniques.
  • Assist with new employee orientation and securing supplies for workstation/office set-up.
  • Coordinate conference room schedules and calendar.
  • Ensure that all conference rooms and the recreational room are clean and have the necessary supplies.
  • Assist in making travel arrangements for employees.
  • Other special projects as needed.

Requirements:

  • Professional and inviting personality with superior customer service skills (in person, telephone, and email). Professional appearance and demeanor is essential.
  • Excellent verbal and written communication skills
  • Ability to maintain focus and composure with frequent interruptions while paying attention to details
  • Ability to solve problems creatively, and work well with all employees
  • The ability to work autonomously, think “outside of the box” and have a sense of humor
  • Strong sense of ethics, character and interpersonal skills, as well as a can do attitude
  • Must possess a valid driver’s license, acceptable driving record, and proof of current vehicle insurance
  • Physical capabilities include working at a personal computer workstation for long periods of time
  • Ability to lift up to 25 pounds

Qualifications:

  • College degree preferred
  • 3+ years of experience in same or like functions is required
  • Microsoft Office experience and ability to easily adapt to new software and technology

Job Type: Full-time

Pay: $25.00 - $27.00 per hour
