Faculty Relations and Marketing & Media Program Coordinator

LOCATION: Wayland Baptist University – San Antonio Campus

SUPERVISED BY: Executive Director and Dean

POSITION CLASSIFICATION: Non-Exempt

POSITIONS SUPERVISED: None

GENERAL RESPONSIBILITIES: The Coordinator provides clerical and administrative support to fulfill the duties of the Office of the Executive Director and Dean for the San Antonio campus. Verifies competencies and accuracy of work, computations, and records. Interacts with, coordinates, or performs activities associated with correspondence with the Plainview campus. Helps coordinate course rotation schedules, provides administrative support for faculty relations to include Evaluation of Faculty Qualifications (EFQ), faculty meetings, etc. Consults with supervisor and other personnel to resolve problems, such as equipment performance, output quality, and work schedules. Files records and correspondence. Assists with all marketing/media programs to include media production and messaging content. Assists with integrating technology into the classroom.

SPECIFIC TASKS AND DUTIES:

  • Manages schedules and calendars.
  • Records and reviews progress and success of campaigns.
  • Maintains and produces reports as necessary.
  • Composes and assists with correspondence.
  • Provides help with recruiting/marketing events, tradeshows, and other related events.
  • Helps compile market research to determine target audience needs, wants, habits, interests and other relevant factors used in creating targeted marketing campaigns.
  • Works with other marketing/media staff to develop unique campaign ideas to market products, services and or overall brand identity.
  • Assists in enlisting and training volunteers for events.
  • Assists in planning and administrative assignments related to the local Advisory Committee.
  • Assists in planning events including managing guest lists, location arrangements and catering.
  • Promotes Wayland to donors, alumni, students and other key audiences.
  • Assists in developing the San Antonio alumni network.
  • Helps compile the quarterly WBUSA Newsletter
  • Participates in recruiting activities as needed.
  • Some travel required.

MINIMUM QUALIFICATIONS:

Education:

  • High School Diploma or GED required with emphasis on office management/office skills desired.
  • Associate’s degree in business or related skills highly desired.

Experience and Knowledge:

  • Experience in a university administration setting.
  • A deep commitment to Christian Higher Education and agreement with the purposes and philosophy of higher education as promoted by the Baptist General Convention of Texas in general and WBU in particular.
  • An understanding of and commitment to work with educational programs related to churches, businesses, industries, and the military.
  • Experience in an administrative or assistant role.
  • Experience developing marketing/media pieces to include creating and editing artwork and content.
  • Experience planning events, and working with volunteers.
  • Experience working with and managing executive level relationships.
  • Experience with mail merges, direct mail campaigns and bulk mail preparation.
  • Experience with databases, data entry, corrections and some report writing.

Skills and Abilities:

  • Excellent person to person, communication and presentation skills.
  • Professional appearance and ability to work well with business owners and CEO’s.
  • Well organized and able to independently prioritize projects and meet tight deadlines.
  • Ability to use content management systems, determine marketing analytics, and effectively use Customer Relations Management Systems (Talisma, Slate, etc.) and update websites.
  • Ability to creatively solve problems.
  • Ability to use Microsoft Office applications including Word, Excel, Outlook, PowerPoint, Publisher and other related software.
  • Effective writing, speaking, presenting and active listening skills.
  • Ability to write, proof-read and edit correspondence and promotional pieces.

CONDITIONS OF EMPLOYMENT:

Employment is subject to an introductory period to monitor employee performance. If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Customs Enforcement (ICE). Employee must be able and willing to travel. Must be able to operate a licensed motor vehicle and possess a valid state driver’s license or have access to reliable transportation. Must have and maintain a satisfactory driver’s record.
