EXECUTIVE SECRETARY

Position Summary:
This position is responsible for providing administrative support to the Office of Curriculum and Instructional Support (CIS). This position requires work to be performed with a high degree of independence while serving the needs of this complex academic administrative unit, including coordinating meetings and events, managing the unit's budget, and supporting multiple administrative functions. This position requires a high level of professionalism and is responsible for coordinating front-line communications for the unit, developing various correspondence, documents, and reports.

Required Qualifications:
High school diploma or GED.
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the position with or without reasonable accommodation.

Preferred Qualifications:
Knowledge of specific software programs and/or mainframe/systems (e.g., SAP, Blackboard, WebEx, Watermark Insights systems).
Demonstrated ability to design/maintain web pages desired.

Duties & Responsibilities:
Performs specialized secretarial duties in support of work unit; develops, prepares and/or composes responses, memos, and correspondence related to specialized clerical functions.
Researches, organizes, prioritizes, prepares, and documents communication (phone calls, e-mail, letters, memos, etc.) for internal/external delivery as related to general CIS operations.
Receives and screens calls and visitors, and directs to appropriate staff members accordingly.
Establishes and maintains various filing and records management systemas and maintains departmental shared files.
Maintains the units budgetary records by performing credit card reconciliations and other bookkeeping-related duties such as reconciling, monitoring, and tracking expenditures, preparing budget statements, and making recommendations, upon request, regarding projected budgets for department.
Provides administrative support to CMU committees/councils affiliated with CIS activities.
Provides administrative support for unit-affiliated faculty grants and awards, including, but not limited to, nomination and selection processes, award distribution, and documentation.
Performs and coordinates scheduling tasks and support services (not limited to but including calendaring, space arrangements, catering, registration support, registration reminders, and presenter support) associated with CIS events, conferences, exhibits, travel, or other related duties for both internal and external contacts.
Assists in maintaining the Curriculum and Instructional Support websites on an on-going basis, ensuring updates are performed in a timely and appropriate manner.
Assists, as needed, with the design and development of communications distributed to faculty and staff; duties include researching topics, creating in the university-approved tool (e.g., Maestro), copy editing, and exercising editorial judgment on the appropriate content for the publication.
Conducts special projects and assignments as directed; collects, compiles, and writes updates and reports on findings, including preparation of preliminary findings.
Answers inquiries and conducts problem-solving for internal and external contacts on issues directly related to the work unit.
Acts as a back-up to the Executive Secretary to the Curriculum and Instructional Support Executive Director.
Acts as a back-up to other CIS operational activities as needed.
Performs other duties as assigned.
