  • Albright College is seeking applications for Executive Assistant to the Provost. Reporting to the Provost, the Executive Assistant (EA) to the Provost is the partner to the Provost and brings leadership, creative problem solving, and project management to the office of the Provost. The Executive Assistant provides the strategy and overall coordination of the Provost’s calendar and travel schedule, and handles the Provost’s calendar. The EA provides administrative and clerical support for the Provost and the office of the Provost. The person in this position represents the Provost to all constituencies (students, faculty, staff, cabinet members, trustees, campus officials, and key external constituents), advises the Provost on college policy and practice, and occasionally leads the operationalization of strategic initiatives. In concert with the Provost, they assist in leading, coordinating and administering various activities within the Office of the Provost in service to the varied constituents of the campus community.

Essential Job Functions:

  • Provides leadership, strategy, prioritization and management for the Provost’s schedule and travel, including understanding and balancing competing priorities.
  • Provides the clerical and administrative support for the Provost’s calendar and travel.
  • Leads and manages the academic affairs work related to the board of trustees, specifically through the Academic Affairs Committee of the board. Staffs the Academic Affairs Committee of the Board of Trustees by working with the Provost and the Chair on meeting preparations, material preparation and distribution, and updating the committee’s information on the trustee secure website. Attends Academic Affairs committee meetings and takes meeting minutes.
  • Partners with the president’s office staff and the assistant to the secretary of the board to plan and implement the board of trustee meetings.
  • Assists Provost who chairs the Commencement Speaker Advisory Group with meeting preparations, materials, and updating the committee’s information on the trustee secure website. Attends committee meetings and takes meeting minutes. Routinely monitors website for recommendations and coordinates with the Advancement office for background information prior to committee meetings.
  • Facilitates communications between the Provost’s office and various constituencies, both internal and external.
  • Interacts with, and represents the Provost to trustees, alumni, faculty, staff, students and friends of the college.
  • Prepares confidential and general correspondence on behalf of the Provost; often responds to communication on behalf of the Provost.
  • Assists the Provost in the preparation of printed and electronic materials and in crafting responses to inquiries and correspondence.
  • Collaborates with the Communications Division to organize and produce the Provost’s newsletter, and other internal and external communications.
  • Leads the planning of events coordinated by the Provost’s office, including the Honors and Awards Ceremony, the Society of Jacob Albright Scholars Induction Ceremony, Convocation, divisional, faculty and department chair retreats, and new faculty orientation.
  • Maintains a high level of confidentiality related to all materials received, reviewed and discussed. Maintains confidential departmental files.
  • Provides support for faculty and academic staff searches. Works with divisional administrative assistants to schedule on-campus interviews, arrange travel accommodations, and process candidate reimbursement requests. Supports search committees as needed.
  • Coordinates faculty office assignments, keys, renovation or repairs, and furniture needs.
  • Coordinates arrangements for departing faculty and staff that report to the provost. Collects college property before departure and prepares departing clearance form.
  • Professionally and proactively maintains the Provost’s office websites.
  • Leads and directs and completes special projects as assigned by Provost in support of the college mission, which may include creative problem solving, project management, and working with multiple departments.

Qualifications/Prerequisites:

COMMUNICATION

  • Strong, clear, and persuasive communication skills, both written and oral.
  • Intellectual depth necessary to understand and translate college information for a variety of audiences, crisply and concisely.
  • Demonstrated ability to work effectively with, and communicate effectively with, all constituents, internal and external.
  • Confidence to advance and defend ideas and programs in an environment that respects conviction and demands analytical rigor.
  • Understanding of the confidential and sensitive nature of the work.

EMPLOYMENT EXPERIENCE

  • Minimum of ten years of successful work demonstrating increasing independent work and leadership.
  • Experience in higher education, preferably in a college similar to Albright.

EDUCATION

  • An Associate’s degree or relevant and sufficient experience required.
