THE OPPORTUNITY

Our Executive Assistant team makes a much-valued contribution to the Primient business.

Key responsibilities:

  • Provide high level administrative support for the Chief Executive Officer and the Chief Financial Officer
  • Complex multi calendar management
  • Build, Edit, Review and curate executive level presentations
  • Management of schedules in an international business where many contacts work in different time zones
  • Follow-up on pending matters with limited direction
  • International and domestic travel arrangements and related expense reports
  • Organize events and meetings with other parts of the business
  • Take ownership when working on short notice and limited guidance
  • Managing confidential information
  • Record keeping, assistance with contracts and other documentation
  • Drafting and proof-reading of high level documents
  • Working collaboratively with other Executive Assistance across the organization
  • Point of contact for the owners and leaders of the organization
  • Executive meeting management working closely with other C-level leaders
  • Execute executive level memos to the organization on behalf of executives the position supports

ABOUT YOU

You are a professional Executive Assistant who operates at a high level to provide excellent service to C level executives. You have excellent communication and organizational skills, 10+ years of experience as an Executive Assistant serving heads of companies, and you are comfortable in a fast pace working environment. This role requires excellent interpersonal skills for working closely with others and representing the company and its executives in a positive way.


Experience:

  • Minimum 10 years’ experience in a similar role supporting one or more executives. Experience supporting CEO/CFO level strongly preferred.
  • Ability to filter high volume of information
  • Prior experience in the management of confidential information
  • Experience in an international business and operating with various time zones and cultures
  • Highly experienced in using Outlook Calendar and MS-Office, SAP and ERP Software
  • Excellent oral and written communication skills
  • Experienced in event organization and management
  • Experience in interacting with the heads of companies in an Executive Assistant capacity
  • Proven ability to proofread highly important documents
  • Hosting Owners and Board of Directors in Organization Headquarters

  • Ability to demonstrate good judgment, and discretion in management of information
  • Ability to successfully manage and schedule multiple busy calendars
  • Ability to travel and complete meeting management
  • Ability to build executive calendar in partnership with communications and key stakeholders in the organization

Location:

This role must be based in the Chicago area and come to the office. The organization is currently on a 3 day in office 2-day flexible work arrangement.
