The Role:

We are looking for a highly motivated, proactive and productive Executive Assistant with impeccable organizational skills to provide mature, discrete, professional assistance.

As the Executive Assistant, you will be responsible for providing full business and administrative support to both our President of National Brokerage and Chief Marketing Officer.

Responsibilities:
  • Overall administrative support for President of National Brokerage and Chief Marketing Officer
  • Willingness to shift between basic administrative tasks and more complex, longer- term projects, on an ongoing basis
  • Responsible for prompt and effective calendar management (accepting, declining and rescheduling meetings)
  • Assisting with diverse projects, initiatives and roll outs; conduct basic research and produce well organized and easily digestible outputs
  • Drafting emails, typing correspondence, preparing reports and presentations and proofreading
  • Acting as liaison with all levels of staff globally and external stakeholders including high-profile clients, franchisees, agents
  • Responsible for coordinating certain meetings; planning the agenda with input, arranging speakers, organizing materials, tracking attendance, following up on actions, coordinating with off-site venues
  • Answering calls and dealing with incoming inquiries from staff and clients; resolving or raising to the executives
  • Ensuring the executives are prepared for all meetings, presentations and speaking engagements
  • Booking travel, being aware of any challenges or conflicts and preparing all necessary documentation and liaising with field offices
  • Complete all travel and expense reports and ensure timely payment
  • Managing invoices; checking costs and accuracy, setting up new vendors, processing, and monitoring timely payment
  • Managing multiple tasks, prioritize effectively, and recognize and address work related issues as they occur
  • Partnering with other Executive Assistants and providing coverage where needed

Ideal Experience & Competencies:
  • Bachelor’s Degree required
  • 2+ years of professional experience in an Executive Assistant role, or role with similar responsibilities
  • An awareness and interest in the luxury real estate industry
  • Maintain strict confidentiality and exercise outstanding judgement in all matters, adept at handling sensitive and confidential information in a professional manner
  • Strong multi-tasking and prioritization skills
  • A fastidious attention to detail, accuracy and organization
  • Able to maintain composure under pressure
  • Ability to compile data and complex information into useful summaries, dashboards, and reports
  • Skillful ability to interact in a professional, mature and collaborative style with key constituents
  • Ability to show good judgement and represent the Sotheby’s International Realty brand and winning behaviors
  • Excellent interpersonal skills and an enthusiastic client service attitude
  • Excellent written communication and analytical skills with experience in drafting reports and presentations and responding to correspondence in a timely fashion
  • Strong experience in Outlook, Word, Excel, PowerPoint, Teams and Zoom

Compensation Range

The base hourly range for this position in Colorado is $33.33 to $34.87.
