Role Overview

Supports Executive leaders by handling a wide variety of clerical and administrative duties.

University Park, IL


Key Responsibilities

  • Handle administrative functions such as copying, scanning, filing, and handling incoming and outgoing mail.
  • Proactively manage Outlook calendars and contacts
  • Create, format, type, and edit a variety of documents, including reports, work instructions, memos, spreadsheets, organization charts
  • Provide administrative assistance and planning for events such as Town Hall’s, trainings, and a variety of other meetings and conferences
  • Arrange and coordinates global air and ground travel reservations, is up to date and aware of international travel entry requirements and restrictions (example: COVID).
  • Prepares expense reports.
  • Respond to emails and voicemails in a timely manner
  • Monitor and report on department budgets – manage excel spreadsheets regarding the same
  • Carries out special projects and assignments as requested; compiles, analyzes, and prepares data for administrative reports, presentations, manuals and procedures
  • Answer and screen telephone calls and visitors and resolve problems
  • Coordinate and organizes files and communications, including on Teams/Microsoft system
  • Track department budgets, receives invoices and gets approval, allocates account codes and researches the variances between forecast and actual.
  • Manage signature processes via Adobe and other applications
  • Effectively manage confidential information, including, budgets, forecasts, etc.
  • Travel domestically with overnight stay
  • Other duties as assigned


Critical Competencies for Success

  • Bachelor's degree (or equivalent) required
  • 5+ years of experience supporting executives
