The Executive Assistant provides high level administrative assistance to the Vice President, Development as well as other leaders and staff in the Office of Institutional Relations & Development. Such administrative assistance positively impacts the relationships internally within the department, across University Hospitals, and externally with our philanthropic community.

  • Supports and partners with Vice President, Development as well as other designated department leaders and staff through excellent communications and schedule coordination
  • Organizes and coordinates meetings within specified time frames. Finalizes all meeting arrangements
  • Answers and places phone calls in a prompt and helpful manner. Handles messages accurately and timely
  • Establishes and maintains files by collecting all necessary information/documents
  • Types/transcribes/processes documents with high level of accuracy on the first draft; Increases accuracy to 100% for final draft within required timeframe
  • Ensures the flow of information in a timely and accurate manner
  • Processes invoices and request for reimbursement in a timely manner
  • Makes travel plans and arrangements
  • Ensures the security of confidential information
  • Promptly refers requests for information or services if unable to meet the request
  • Prioritizes workload. Able to reset priorities, as needed
  • Performs general office duties and provides operational support, as needed
  • Serves as a member of the Administrative Team, and provides back up support as needed by deadlines, urgent matters, etc.
  • Other duties as assigned
Qualifications

Education/Expertise:

  • High School Diploma, undergraduate business courses preferred.

Experience & Knowledge:

  • Four+ years executive secretarial experience, preferably in development or health care.

Special Skills & Equipment Knowledge:

  • Demonstrates strong interpersonal skills and excellent communication skills both written and verbal.
  • Strong organizational skills and work ethic.
  • Proficient PC skills, including MS Office products.
  • Familiar with operation of standard office equipment
  • Ability to type 70 wpm.
  • Ability to maintain high level of confidentiality.
  • Ability to meet deadlines and handle complex tasks with minimal supervision.
