Position Summary:
This position entails providing administrative support to the Executive Leadership Team (ELT) and staff as directed by the ELT. This position requires dedication, commitment, flexibility, attention to detail and patience. The Executive Assistant also works to coordinate assigned special projects, as needed.

Essential Functions:

  • Provide project specific assistance to programs as determined by the ELT team
  • Meeting coordination and support including managing the calendar, agenda, location set up/clean up, food and beverages for various meetings including those held virtually and in other locations
  • Manage the Request for Proposal (RFP) process for specific applications including organizing and attending meetings with relevant staff, organizing, and reviewing all items required to be submitted, reviewing submission requirements, finalizing, and submitting packets upon completion by the team
  • Data management support (bestnotes, binti, etc.)
  • Track various survey responses and prepare periodic summary reports
  • Collaborate with the communication specialist to oversee social media and website
  • Assist in completion of agency assessment Human Rights Campaign (HRC)
  • Assist HR and CEO in planning and holding various meetings as assigned
  • Assist CEO with TLC Board of Directors
  • Assist in the onboarding and welcoming of new members of the leadership team, to include training on systems as needed
  • Complete expense reports and reconcile credit card charges for members of ELT
  • Complete End of Month Census report
  • Support agency as needed with holiday giving, staff appreciation, annual events, etc
  • Complete other duties as assigned

  • Excellent organizational skills
  • Attention to detail
  • Flexibility in prioritizing and managing various tasks and projects simultaneously
  • Ability to communicate effectively with members of the of the leadership team, staff and board members

Qualifications:

  • Bachelor’s degree preferred, can be substituted for relevant experience
  • Database Management
  • Familiarity with Social Media
  • Familiarity with Google Office programs (use of Sheets, Docs, Forms, Calendar, Drives)

Agency Requirements:

  • Obtain and maintain fingerprint, government and agency required background clearances, without additional exemptions.
  • Ability to pass a pre-employment physical exam, TB and drug screen.
  • Valid California driver’s license with an acceptable driving record and auto insurance showing employee as an insured driver on the policy.
  • COVID-19 vaccination required. Reasonable medical or religious accommodations may be considered.
  • Bilingual preferred.

TLC offers a generous benefit package for full time staff including:

  • 100% employer paid health, dental and vision plans for the employee. Dependents would be covered at 50% of the base health plan by TLC, dental and vision would be the employee’s responsibility. Coverage is available on the 1st of the month following the date of hire.
  • Paid Time Off: Starting at 14 days per year based on 40 hr. work week. Increases with time of service.
