As the Executive Assistant, you will provide executive-level administrative support and technical assistance to the OMB Director and OMB executive team in an environment that requires forward-thinking, confidentiality, and professionalism. This position also collaborates with the Office of the Governor and other state agencies.

This integral role ensures the OMB Director and OMB executive team are provided with the resources necessary to effectively accomplish OMB’s mission.

To succeed in this position, you will be highly organized, responsive, and effective in communicating with a variety of audiences and stakeholders, employ sound judgment and decision-making skills, and maintain a high level of confidentiality and professionalism.

Summary of Work:

  • Provide a high-level of administrative support to the OMB Director, OMB Budget Analysts, Fiscal Management Director and team. Support other OMB Division Directors as needed.
  • Serve as the OMB website content/ADA compliance manager and administrator/co-content manager for the statewide intranet (Team ND Connect) in collaboration with the OMB Communications Director.
  • Coordinate, produce, and disseminate documents including budget documents, reports, manuals, spreadsheets, forms, charts, correspondence, newsletters, brochures, presentations, meeting agendas/minutes, fiscal and administrative policies.
  • Perform responsibilities related to the biennial budget, legislative session and interim responsibilities to include the review, edit, and format of testimony; coordinate, prepare, and submit agency fiscal notes; arrange and schedule agency strategy review and budget meetings; prepare quarterly reports on federal grants applied for and received by state agencies for Budget Section, Government Finance and other interim committees; contact state agencies quarterly regarding fiscal irregularities and prepare report for budget section; collaborate with budget staff to assimilate and aggregate the Governor's executive budget recommendation.
  • Collect and compile federal funds data from agencies and prepare report for legislative leadership each biennium.
  • Act as the liaison and primary contact between agency heads and cabinet officials, agency directors, state and local officials, OMB division directors/team members, media, legislators, and the public.

Minimum Qualifications:

  • Associate degree in business or a closely related field and five years of professional work experience performing a variety of complex administrative support, clerical, and secretarial work; or a combination of education and administrative experience that demonstrates equivalent knowledge, skills, and abilities.
  • Experience with Microsoft Word, Outlook, and Excel.

  • Excellent verbal and written communication skills with the ability to present information in an articulate, professional and confident manner.
  • Strong proofreading skills with a high level of attention to detail and accuracy.
  • Forward-thinking, problem-solving, decision-making, and multitasking abilities.
  • Dependable, organized, self-motivated, resourceful, and flexible.
  • Ability to work independently with little supervision.
  • Experience with Adobe products, Drupal, SharePoint, and ServiceNow desired.

Location:

This role is based in Bismarck, ND. Upon completion of an in-person training period, telework may be an option one to two days per week, with the remainder of the time spent in the Bismarck, ND office.

About the Position:

Hiring Salary: $4,500-$5,000/month. This position is classified as an Administrative Services V (Administrative Staff Officer I), Grade 105.
