POSITION PURPOSE:
The primary role of the Executive Assistant is to be a consummate professional that is passionate about efficiency, details, and discretion. The Executive Assistant should be highly organized, capable of solving problems calmly and swiftly, work with an elevated sense of urgency and take great pride in the level of commitment and personal discretion in all the work that they perform. The responsibilities include calendar management, maintenance of department budget and related financials, assist in driving department/branch goals through accountability and deadline-driven support, coordinating travel arrangement and preparing reports as needed.

This Executive Assistant will be a shared resource supporting our Director of Events and our Sr. Director of Keller Williams University.

Essential Duties & Responsibilities:

  • Delegated with authority on matters of significance to organization, including ownership over schedule of senior executive, communications with other leaders and team members in organization, and special projects, without receiving or needing specific instructions or prescribed procedures on taking action
  • Manage highly complex calendars and schedule conference calls and meetings across multiple time zones
  • Manage blended virtual and in-person meetings
  • Communicate via phone and email on department leadership’s behalf, managing communication with internal employees as well as external contacts (clients, investors, corporate partners, etc.)
  • Act as the first point of contact, representing the department and its leadership, in communications with Keller associates and team members
  • Attending and taking notes during meetings, recording action items from those meetings, and following up on said action items
  • Resolve scheduling changes or conflicts, demonstrating a high sense of urgency and an understanding of which commitments should be the highest priority
  • Coordinate complex travel arrangements; create travel itinerary and informational packet for each trip
  • Lead special projects by delegating tasks to internal teams, establishing deadlines, and holding all parties accountable
  • Be an accountable team player
  • Work with the management team to ensure status reports are accurate and deliverables are met
  • Handle occasional requests outside of normal business hours, including nights and weekends

Education & Experience Requirements:

  • Five or more years of experience as an Executive Assistant to a business owner or senior executive of a large business
  • Experience working with complex operational and/or departmental budgets
  • Working knowledge of a variety of computer software applications in word processing, spreadsheets, communication, database and presentation software (GSuite, Slack, MSOffice, Zoom, etc.)
  • Proven experience working in an extremely fast-paced environment with demonstrated ability to appropriately prioritize and complete projects quickly and independently
  • Proven ability to work independently on assigned tasks as well
  • Highly adaptive and flexible, willing and able to quickly pivot as priorities change
  • Experience successfully managing projects and being held accountable for results
  • Possess strong organizational skills and a passion for getting things done quickly and correctly
  • Extremely observant with the ability to anticipate needs, fires, or roadblocks before they occur
  • Must have a high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy
  • Must be able to interact and communicate with individuals at all levels of the organization
  • Intense passion for supporting senior executives of the organization, removing roadblocks to ensure success
  • Bachelor’s Degree in Business or related field preferred
