We are looking for an administrative assistant that will play an integral part in day-to-day executive functions. The ideal candidate is a highly organized self-starter who can work cross-functionally on the planning and the implementation of marketing projects and on administrative tasks. This person will need to display versatility to handle ad-hoc projects as assigned and manage administrative duties.

What you will be doing:

  • Create, edit, and proof new and existing, customized proposal content to effectively highlight specific features which demonstrate our vision to add value for each specific property or portfolio (based on client priorities identified in RFP specifications or by Regional Directors).
  • Take ownership for assembling and finalizing individual proposals and submitting them for review/approval in advance of established deadlines.
  • Pay close attention to proposal deadlines. Establish priorities and target dates for information gathering, writing, review, and approval; entering and tracking data, and coordinating requirements and due dates with co-contributors as needed.
  • Ensure that all proposals, presentations, and graphics comply with company brand standards.
  • Print, bind, and ship proposals as needed.
  • Provide general administrative support: including preparing expense reports, composing general written correspondence for distribution, copying, faxing, scanning, emailing, preparing outgoing mail, etc.
  • Schedule/coordinate meetings and other events, including and not limited to web, video, and phone conferencing.
  • Work with other administrators and executive assistants to coordinate meetings and calendars.
  • Compose presentations, meeting minutes and other documents/reports as needed
  • Frequently work with senior leadership positions to supply or obtain information
  • Prepare and distribute mail. Maintain adequate supply of postage and other office supplies.
  • Greet clients, answer incoming calls, direct or take messages.

What we are looking for:

  • Previous administrative or office administration experience.
  • Basic MS Office knowledge.
  • Excellent communication skills, written and verbal, able to effectively address all levels within the organization
  • Strong respect for confidentiality and professionalism
  • Ability to work in a fast-paced environment, handling multiple tasks and work under time constraints
  • A willingness to do whatever it takes to earn a “Thank You.
  • Expert in proofreading and use proper grammar and spelling
  • Experience supporting a sales team and creating proposals/presentations preferred
