Executive Assistant and Event Manager – Mineral Ridge, OH

Shift: Monday – Friday, 40 hours per week

Responsibilities:

  • President & CEO Support:
  • Provides direct administrative support to the CEO by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Represents the CEO in various meetings and community activities.
  • Responsible for flow of communication and will keep the CEO apprised of time sensitive issues that will affect the organization, Board and staff.
  • Assists in maintaining and coordinating CEO’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Schedules meetings, secures venue, room set up, refreshments, tracks attendance, and assists with preparing and distributing meeting agendas, supporting materials and minutes.
  • Board Support and Liaison:
  • Serves as the CEO’s administrative liaison to Agency’s Board of Directors, Board Committees and Sojourner Advisory Committee as well as with other agency and/or governmental boards and executives.
  • Coordinates communications with the Board and committees as directed.
  • Maintains official documents of the organization including but not limited to Board/committee agenda and minutes, Board/Committee calendars, conflict of interest statements, resolutions, bylaws, policies and procedures and other as required.
  • Marketing, Fundraising and Agency/Community Events:
  • Management of agency’s fundraising events and other various events as they arise.
  • Maintain up-to-date databases in Constant Contact as well as donor database.
  • Assist with the editing and updating of Agency websites with approved content.
  • Organize and create mass mailings for Agency events and annual appeals.
  • Assist with the identification of and cultivating relationships with donors.
  • Organize and maintain all marketing and fundraising files.
  • Assist with the maintenance of websites, agency branded materials, social media and Facebook communications regarding COMPASS activities.
  • Generate relevant correspondence including thank you letters for CEO.
  • Assist program managers on coordination and attendance at various community events and coordinate the various functions and marketing materials needed.
  • Coordinate and facilitate the staffing of community events, health fairs, resource fairs, etc.
  • Coordinate special projects such as the NAMI Annual Walk and Recovery Walks.
  • Assist with the coordination of staff trainings, education, and team building
  • Assist with the facilitation of the Advisory Committee meetings and supporting documentation.

Qualifications:

  • Minimum of a Bachelor’s degree in business; higher degree (MBA or MA) in related filed is preferred.
  • 5+ years of executive or administrative work experience preferred
  • Experience working with Board of Directors and senior level management interactions is preferred.
  • Minimum of 5 years’ experience in marketing, development and fund raising is preferred
  • Not for profit organization experience is a plus.
  • Proficient in Microsoft Office (Outlook, Word, Excel and Power Point) and Adobe Acrobat.

Miscellaneous requirements: Criminal background check; Pre-employment drug screen; Clear driving record; Strong social, communication, and written skills. Excellent communication skills, both verbal and written, with ability to interact in a professional manner with internal and external customers. Ability to manage a variety of activities and tasks with strong attention to detail, accuracy, and timeliness as well as an excellent proofreader. Ability to maintain client and Agency confidence and protects operations by keeping information confidential. Self-starter with ability to work independently and collaboratively, demonstrating judgment, critical thinking and problem-solving skills. Flexible with the ability to adapt to a complex and high priority work environment. Possess the ability to foster teamwork at all levels of the organization that includes motivating and coaching to achieve positive outcomes.
