Jack Henry & Associates is seeking an experienced Executive Administrative Assistant to support the Managing Director of Digital. In this role, you will support the vision, strategic planning, and execution of all digital operations. To be successful in this role, you will need to demonstrate a strong ability to anticipate situations, lead and motivate others while being flexible and adaptive of their teams’ changing needs.

In this role, you will serve as a liaison to the office of the CTO and senior management teams; organize and coordinate customer outreach, work to help build efficiencies in daily work; and oversee special projects. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. You will have the ability to work independently on projects, from conception to completion, and you must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. You will be handling high level confidential information so will be expected to maintain strict confidentiality and exhibit discretion and professionalism in all activities, always reflecting the values and culture of the company.

What you’ll be responsible for:

  • Complete a broad variety of administrative tasks for leadership of the Digital Operations team including: managing an active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plan, coordinate, and ensure team leadership’s schedules are followed and respected. Provide "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Operations team’s time.
  • Communicate directly, and on behalf of the Managing Director, with senior leadership, customers, staff, and others, on matters related to the team’s initiatives.
  • Provide a bridge for smooth communication between the Managing Director and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
  • Focus on alignment of goals with other Digital Business Partners to ensure collaboration, open lines of communication, and cohesiveness across Product, Engineering, and Operations and collaborate in the completion of monthly billing, contract preparation, follow-ups for compliance, and other operational administrative responsibilities.
  • Research, prioritize, and follows up on incoming issues and concerns addressed to the director of product, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response and keeps the director well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer," having a sense for the issues taking place in the environment and keeping the team updated.
  • May perform other job duties as assigned.
What you’ll need to have:

  • A minimum of 1 year of experience in an administrative support role.
  • Experience with any of the following: Salesforce, Workday and/or Peoplesoft (or similar system), Concur (or similar system).
  • Comfort functioning in a role that requires a high degree of flexibility with the ability to independently interpret policies and solve non-routine, complex issues under minimal supervision (balanced with willingness to request clarification/assistance when difficulties arise.)
  • Proficiency in Microsoft 365 and Google Workspace collaboration tools - specifically Excel/Sheets.
  • Strong communication skills, verbal and written.
  • Ability to travel up to 10% to attend JHA meetings, trainings, and/or professional conferences.

  • Solutions-oriented approach to departmental/company challenges with the ability to identify/analyze scope of challenge, determine approach, compile data and prepare reports and positive-change recommendations.
