What you’ll do as an Executive Assistant

  • Maintain confidentiality of highly sensitive information
  • Maintain comprehensive and accurate records
  • Manage book projects. Coordinate multiple parallel projects, ensuring high-quality input from all team members (a writer that converts our content to a book format, a designer who lays out the books in paperback, hardback, and ebook formats, a cover designer). Responsible for reviewing the inputs at each stage of book development and being able to work with relevant team members to ensure high enough quality before passing a polished draft over to the supervisor for final review, input, and approval.
  • Writes well-structured and effective book descriptions and suggests effective book titles.
  • Assist with finding and booking speakers for podcasts and for virtual summits. Coordinate all correspondence to ensure bookings of interviews and management of assets
  • Welcome new clients and identify the best way to help transition them to satisfied, ongoing large clients
  • Check the major milestones for the year and create/maintain a schedule and coordinate to ensure all team members are delivering quality inputs on time to achieve or surpass desired goals. Deal with quality issues by providing detailed feedback to team members and, where necessary, finding a replacement for specific providers (writing, design, video editing). Being the person who can get a polished draft of the project ready before it goes to the supervisor for input, review, and approval.
  • Works closely with the marketing team to coordinate and plan milestones and goals
  • Collaborates with various team members to ensure a smooth publication schedule and high quality of the final deliverable
  • Proofread manuscripts to identify any grammatical, spelling, or logic errors. Work with the designer and writer to ensure required corrections are made
  • Prepare and improve documented systems and procedures of how tasks should be performed, including a checklist that must be followed for specific tasks.
  • Manage onboarding of new team members.
  • Review laid-out books for formatting or any remaining spelling, grammatical or logic errors.
  • Work with a designer to ensure effective covers and thumbnails
  • Conflict and disagreements resolution, when required.
  • Prepare elements for delivery to third-party vendors for sound editing, video editing, color correction, book writing, book layout and other projects.
  • Organize, sort and maintain the internal content library of B-roll, raw footage, photos for thumbnails, and files in various versions, such as with or without music. Ensure creation of high-quality assets, utilization of such assets on various platforms, and storage/easy retrieval of such assets in dropbox.
  • Ensure keyword optimization for algorithms balanced with attractive titles and descriptions for growth of youtube, podcast channels, Amazon books, Google search, and social media profiles
  • Coordinate post-production, including preparing graphics and publishing
  • Collaborate with teammates to ensure high-quality of video and audio content
  • Help manage customer support, including dealing with important clients and being able to maintain a strong relationship and customer retention. (Very Important)
  • Create a concierge level of service for our highest value customers (coaching and legacy members)
  • Understand the Lifetime-Value (LTV) of customers and understands the costs to increase the LTV
  • Proactively manage the schedules and provide updates and reminders to the company principals.
  • Proactively search for ways for the company to run better, and engage customers better.

As an experienced Executive Assistant or Virtual Assistant, you have

  • A highly organized and proactive approach to completing tasks
  • High reliability and accountability. All tasks are done without the need for reminders and done to high standards
  • Critical and logical thinking skills
  • Proactive and always looking for ways for us to grow our client base, quality of outputs, and effectiveness of how the team is managed/operates.
  • Generated mass emails & newsletters
  • Experience collaborating with clients and colleagues
  • Managed complex office administrative work
  • Independent judgment, initiative, and drive
  • Undertaken administrative tasks ensuring successful functionality and coordination of marketing activities
  • Edited and reviewed Podcast and video content
  • Edited and reviewed books
  • Effective writer with a solid grasp of grammar and ability to hold reader’s attention
  • Familiarity with basic algorithm workings for YouTube, podcast, Amazon books, Linkedin and SEO growth efforts
  • Ability to find and build relationships with collaborators to ensure long-term win-win relationships.
  • Managed social media campaigns
  • Managed and coordinated freelancers and writers
  • Experience with growing book sales (especially on Amazon) would be a big plus
  • Experience with Kartra, Kajabi, Mailchimp, WordPress, SEO, social media profiles growth (especially Linkedin), Youtube, podcast show management will be a big plus
  • Experience with finding, booking and maintaining relationships with suitable speakers for podcasts and virtual summits
