DEPARTMENT: Executive Offices
POSITION TITLE: Administrative Assistant
POSITION DESCRIPTION
Assists in complex and confidential administrative related functions to ensure that the department operations flow smoothly. Collaborates with the administrative process to accomplish and/or help accomplish projects with timeline and effective results. Types correspondence, memos, and reports, and participates in one or more administrative functions such as project management or developing complex spreadsheet, documents, and reports.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Answers incoming calls and takes messages.
  • Assist and/or schedules and organizes activities such as meetings, travel, and department activities as required for the President of the health plans.
  • Prepares meeting material, records, and transcribes minutes for meetings as requested.
  • Creates and develops visual presentations as requested.
  • Receive and process mail.
  • Maintains meeting schedules of calendar (s) assigned.
  • Works independently and/or with a team on special projects.
  • Creates, copies, faxes, or e-mails documents internally and externally as necessary.
  • Updates log data as necessary.
  • Produces Word, Excel, Visio, and PowerPoint documents as requested.
  • Translate (English/Spanish) and proofread official company materials and correspondence as required.
  • Coordinates for conference rooms and necessary equipment for presentations and/or meetings as requested.
  • Prepare office supply orders as required.
  • Prepare reports as assigned or requested.
  • Responsible for projects assigned.
  • Maintain files updated as required
EDUCATION AND EXPERIENCE
Bachelor's degree (B. A.) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS
Fully bilingual. Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, etc.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
GENERAL SKILLS
  • List the licenses, certificates, or registrations that are required to perform the essential duties of this job.
  • Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database, graphics, and presentation software (MSWord, Excel, Access, and PowerPoint).
  • Ability to type 45 words per minute.
  • Excellent verbal and written communication skills in English and Spanish.
  • Must exercise a high degree of initiative, judgment, and discretion to achieve departmental and organizational goals.
  • Ability to respond to a high volume of work and always maintain a polite and professional manner.
  • Able to function with frequent interruptions.
  • Ability to prioritize workloads for maximum efficiency.
  • Must have high level of interpersonal skills to handle sensitive and confidential information and situations.
  • Must be able to interact and communicate with individuals at all levels of the organization.
PHYSICAL AND MENTAL DEMANDS
Requires sitting and standing associated with normal office environment. Regularly talks and hears. This position requires that weight be lifted, or force be exerted up to 10 pounds.
ENVIRONMENTAL AND WORKING CONDITIONS
Normal office environment. The noise is typically moderate. Evening or weekend work, as necessary.
