Overview:

Atlantic Health System is seeking an Event Coordinator to arrange and facilitate special events / activities and control an event from conception to clean up.


Responsibilities:

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Coordinates details of events such as conferences, weddings, birthdays, anniversaries, charity events, surprise parties, trade shows, sales meetings, business meetings, employee appreciation events, and virtual events.
  • Annual appeal mailings, cultivation, stewardship and donor relations. Maintaining all of the gifts in Raiser Edge, tracking donors and populating mailing lists and other financial reports
  • Managing all fundraising and cultivation events, including the Rummage Sale, golf outing, Holly Day Market, Cookie Sale
  • Work closely with large volunteer committee (~400) and groups to run successful events
  • Conducts research, scouts venues, assists in negotiations for space contracts, secures event space, and visits venue to plan, create, and revise room layout.
  • Schedules speakers, vendors, and participants; and books talent, including musicians, bands, and disc jockeys.
  • Arranges for food and beverage, samples food, and selects chefs or catering companies to prepare selected food for event.
  • Anticipates project needs, discerns work priorities, coordinates and monitors event timelines, and ensures deadlines are met.
  • Initiates, coordinates, and/or participates in all efforts to publicize event.
  • Assists in the design and editing of a variety of programs and promotional materials and works with printer and designer to develop these materials.
  • Arranges for audiovisual equipment, travel arrangements, event signage, and appropriate decor.
  • Prepares presentations.
  • Develops and oversees fundraising events. Secures sponsorships, creates invitee list, sends out invitations, and manages RSVP list, if required.
  • Supervises technical and clerical personnel, and hires staff to help manage the event, including bouncers and security personnel.
  • Assists with preparing budgets, keeps track of event finances, and ensures budgets are adhered to.
  • Submits progress reports to management for each event project.
  • Coordinates event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations.
  • Keeps inventory of backdrops, projectors, computers, and other display materials.

Qualifications:
Experience / Requirements:

  • Bachelor's degree and/or its equivalent required
  • Minimum of 2 years event production experience preferred
  • Minimum of 3-4 years as a general fundraising manager

  • Must demonstrate outstanding interpersonal skills
  • Must have in depth knowledge of Raiser’s Edge
  • Ability to work in a fast-paced environment while maintaining a calm and professional demeanor.
  • Excellent professional interpersonal and communication skills required, both written and verbal.
  • Ability to handle multiple tasks and meet deadlines under pressure and with accuracy is required.
  • Exceptional organizational skills with the ability to exercise a high degree of diplomacy, discretion, collaboration and problem solving required.
  • Highly detail oriented with exceptional organizational skills.
