Master Center for Addiction Medicine is seeking a full-time EHR Specialist who is looking to make an impact through teaching, training, troubleshooting and interacting with others at a medical practice that serves patients struggling with Substance Use Disorder. While we are looking for someone who is experienced with EMR’s, this is a mid-level position and a great opportunity to develop your career with a company that is in its growth stage. The ideal candidate will possess drive, grit, and initiative. We are looking for someone who loves to jump in without a great deal of oversight. While computer and EMR knowledge is a must, this position will involve a great deal of time meeting with employees to troubleshoot, train and collaborate, so it would be perfect for an “introverted extrovert” (or an extroverted introvert)!

Master Center for Addiction Medicine is a private, outpatient addiction medicine treatment center headquartered in Glen Allen, Virginia. We have two additional offices in Hampton and Gloucester. Our approach to addiction is comprehensive, evidence-based and individualized, drawing on every tool that has been proven effective: medical treatment, education, psychiatry, professional counseling, testing/monitoring and peer support services. Our aim is not just to treat patients but to heal them – by helping each one find his or her way to lifelong recovery.

The EHR Specialist will support the treatment team with all EHR-related administration and activities. This position will work closely with the Director of Operations, Medical Operations Manager, and Strategic Initiatives Project Manager.

This position will require some occasional travel to other offices for training, orientation and onboarding of new hires and other projects. Travel outside of regular office commute is reimbursed at the IRS Standard Mileage Rate.

Essential Duties and Responsibilities:

  • Training and Orientation
    • Assist in the setup and configuration of licensed medical personnel.
    • Guide all new employees through an extensive, department specific EHR orientation.
    • Host ongoing training opportunities for staff.
    • Stay current on all new EHR vendor updates, features, and changes to share with staff.
  • Documentation
    • Develop and document workflows and department specific training guides (roles, permissions, programs, etc.)
    • Interpret healthcare regulations such as HIPAA, MIPS, PCMH and propose organization-wide workflow solutions to ensure compliance.
    • Review and update standards of practice policies and procedures as needed.
  • Development
    • Review and maximize the utilization of the EHR products, reduce redundancy and inefficiencies.
    • Work closely with medical team and healthcare navigators to ensure smooth incoming and outgoing referral processes.
    • Modify provider schedules, resource schedules, forms, letters, and templates within the EHR, as needed.
    • Play a key role in the planning, deployment and training of new application modules and updates to existing applications.
    • Work within Billing Module to ensure connection with external clearinghouse and incoming payments and remittances.
    • Work with data extraction team to map data within application.
    • Analyze, evaluate, and make recommendations that address existing and potential areas of improvement.
  • Patient Portal
    • Create and maintain infographics for patients when using the Patient Portal.
    • Collaborate with leadership to update patient communication within the EHR and subsequent portals.
    • Work with leadership to enhance the patient experience and interaction with the online portal.
    • Develop training documentation for administrative changes.
  • Support
    • Serve as the main point of contact for vendors and staff in relation to EHR products, interfaces, reports, and dashboards.
    • 1st Level Support for software and hardware issues within EHR.
    • Ensure all staff have the latest version of necessary software.

Skillset:

  • Great attention to detail

  • Exceptional customer service and people skills
  • Prior EMR experience, training, and implementation
  • Experience with eClinical Works (eCW) preferred
  • Experience with issue resolutions and issue tracking
  • Workflow reengineering skillset
  • Communication: Communicates well both verbally and in writing, creates accurate and punctual reports, delivers presentations, shares information and ideas with others, has good listening skills.
  • Computer Science/Information Systems with healthcare background and experience

Schedule: Monday through Friday 8am to 5pm

Location: Glen Allen, VA (note: possibility for hybrid after training and orientation period; however, the EHR Specialist will be expected to be in-person for specific tasks, such as IT orientation of new hires)

Salary Range: $55,000-$65,000
