The Department of Radiology has an outstanding opportunity for an Education Manager.

The Manager of Program Operations (Education Manager) is responsible for directing the development, implementation and evaluation of our highly regarded Education programs. This position has direct accountability for the operations of the Medical Education programs, including: Diagnostic Radiology residency program, with a total of 43 residents; 2 additional ACGME-accredited residencies (24 residents), 3 ACGME-accredited fellowships (21 fellows), 5 Non-ACGME fellowships (13 fellows), the WWAMI region medical student Clerkship program, CME courses, and other related educational programs. This role reports primarily to the Vice Chair of Education, also to the Director of Finance and Administration of the Department of Radiology, and works in close coordination with Fellowship Directors, Residency Directors, and Clerkship Director(s).

RESPONSIBILITIES:

Essential Duties & Responsibilities (Other duties may be assigned to meet business needs.)

Department Programs Management & Development: 35%
  • Direct the strategic operational and administrative aspects of Radiology Residency, Clerkship and Fellowship programs.

  • Develop, execute and monitor programmatic funding and determine downstream impact upon the Departments, and develop strategic approaches to ensure programmatic sustainability and growth.

  • Ensure all programs conform to institutional and departmental policies and regulations.

  • Participate in the development, implementation, and evaluation of new programs.

  • Lead prioritization and implementation of process improvement efforts related to all the education programs across the entire educational spectrum.

  • Partner with Program Administrators to create Accreditation Data System (ADS) annual reports and Annual Program Evaluations (APE).

  • Develop, execute, and oversee best practices in program administration, scheduling, curriculum, recruitment and interviewing, orientation, and onboarding of residents.

  • Develop and implement new policies and procedures in compliance with accrediting agencies,

  • Partner with Education Faculty Leaders strategically on overall design, development and implementation of programmatic initiatives.

  • Provide strategic operational and administrative oversight for all education and training activities to ensure successful programmatic outcomes.

  • Collaborate with the Vice Chair of Education, Faculty, Program Directors, and Clerkship Director(s) in planning and implementing future state vision and strategic priorities.

  • Participate in special projects as needed to advance the department mission.


  • Program Administration: 30%
  • Ability to step in and cross-cover for any Program Administrator absence.

  • Responsible for accreditation and compliance activities, including facilitation of surveys, Effects of Leave, Work Hours, Supervision, Handoff, Eligibility and Selection Criteria

  • Manage day-to-day program administration, such as trainee schedule management, Medhub administration, evaluations, and lecture coordination.


  • Trainee Recruitment & Orientation: 20%
  • Ensure recruitment processes are conducted in compliance with applicable rules and regulations and on the time cycle necessary for successful program staffing.

  • Plan and organize orientation activities and trainings, and manage onboarding (alongside GME office staff) for incoming trainees.

  • Manage offboarding process of separating trainees.

  • Provide oversight for coordination and outreach with alumni group(s) for accreditation, fundraising, and record keeping.

  • Support team planning to lead graduation ceremonies, including securing venue, menu, multimedia equipment, preparing programs and presenting awards.


  • Program Accreditation & Evaluation: 5%
  • Facilitate alignment across programs through sharing of best practices.

  • Manages oversight of the annual program evaluation action item List.

  • Ensures all Program Letters of Agreement (PLAs) are accurate and up-to-date.


  • Personnel Supervision: 5%
  • Hire, train, supervise and coach a team of education staff.

  • Coordinate team schedules, monitor workloads, delegate tasks, ensure adequate staff coverage, and when necessary, shift staffing to cover gaps.

  • Discuss & set performance expectations and goals, provide regular coaching, feedback, conduct annual performances.

  • Manage team leave requests, including ensuring appropriate and timely hand-off of work for absentee coverage.

  • Minimum Requirements
  • Bachelor's Degree in Business, Education or related degree AND 4+ years of related experience


  • Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    Desired Qualifications
  • Prior familiarity with the requirements, policies and procedures applicable to postgraduate clinical training programs accredited by ACGME.

  • Experience working in and managing complex academic program operations.

  • Supervision:
    This position reports to Justin Deese, Vice Chair- Finance & Administration in the Radiology Department.

    Work Environment:
    Schedule is normally within the hours of 8a to 5p, M-F, but is not always fixed and workload does vary. The incumbent¹s first responsibility is to complete tasks rather than keep to a fixed schedule. Flexibility in schedule and intensity of work is necessary. Position is suitable/eligible for Occasional/Hybrid Telework Some travel between sites will be necessary by UW Health Services or other shuttles.
