ROLE SUMMARY

The Donor Services Specialist is responsible for processing over $3M annually in contributions. During processing this position manages donor designation and direction of funds to meet audit guidelines and to ensure donor intent. This position is also responsible for data integrity and accounting for proper use of expenditures of funds. This role oversees the accounts payable for all invoices with manager approval. This position is the liaison between HR for all employee giving needs. This position is responsible for daily gift processing and providing support regarding donor information and recognition and needs to have incredible attention to detail. This includes maintaining records, yearend donor tax information and data to assist with the success operations of the Memorial Foundation.

ESSENTIAL RESPONSIBILITIES

  • Responsible for all aspects of gift processing including but not limited to: Preparing and processing cash, checks, credit card gifts and pledges into Raiser’s Edge data system, producing daily gift entry reports for day end reconciliation, main contact for stock and investment transfers and donation notifications from Morgan Stanley.
  • Integral part of gift processing through any third-party platform including Just Giving and Give Smart.
  • Research and maintain new constituent and donor records as well as maintain donation back up documentation, reports and records filing system.
  • Active part of annual auditing process including but not limited to: being available for questions and obtaining supporting documentation when requested.
  • Maintain payroll deduction files coordinating recurring gift status with Human Resources. Annual Employee Giving Campaign processes: gift entry, letters, tracking of new payroll deductions.
  • Produce donor acknowledgement at time of gift entry (receipts and letters), tribute notification letters (weekly) and follow up memorial letters (monthly). Obtaining necessary signature of CEO for timely mailing of letters.
  • Work with Financial Analyst with specific projects or situations that arise.
  • Primary contact for invoice processing: Receipt and preparation of invoices for approval by Director of Operations or CEO of The Memorial Foundation. Tracking of invoices on internal Memorial Foundation spreadsheet. Monthly reconciliation of paid invoices to Accounts Payable report produced by Financial Analyst.
  • Manages payroll deduction files coordinating pledge status with Human Resources.
  • Provide support to team members including clerical, editorial, and compilation of materials as well as reception and phone duty.
  • Download obituaries, searching data base for constituent match and updating constituent records.
  • Assist with development and maintenance of stratified, targeted campaign and mailing lists.
  • Maintain knowledge to operate department software effectively.
  • Takes initiative to seek out additional programs, workshops, etc, as needed.
  • Takes initiative to familiarize self with hospital, departmental and divisional current issues, concerns, and trends.

QUALIFICATIONS AND REQUIREMENTS

Education: High School diploma or GED equivalent required.

Experience: Minimum of two years of experience in accounts payable, accounts receivable, or bookkeeping required. Previous experience with non-profits and/or foundations is preferred.
