Job Description
We are seeking a talented individual to join our team as a Document Control Clerk. This position will be responsible for the creation, maintenance, and state compliance of electronic and paper documents, processing orders, and taking inbound calls regarding this department’s responsibilities. This role is responsible for conferring with client success managers, onsite implementation managers, other client implementation employees and clients to collect and implement requirements set by the client as required by the State Attorney General/Consumer Affairs Office.

WHAT YOU’LL DO:
  • Answer incoming calls to the Electronic Agreement Entry (EAE) call queue. Review business reporting and analytic requirements from the business groups through formal interviews or facilitated sessions and translate into technical designs for enterprise business intelligence implementation. Answer incoming calls to the Electronic Agreement Entry (EAE) call queue.
  • Assist with taking calls from internal and external clients to aid in the implementation of changes
  • Assist with fielding questions pertaining to the EAE Department
  • Forward calls to outside departments when necessary
  • Process incoming agreement orders and reorders and track throughout set up process
  • Maintain various spreadsheets and tracking systems to ensure proper and timely delivery of agreements
  • Coordinate shipping of paper agreements, notifying applicable personnel as needed
  • Submit agreement orders through Custom XM site and enter associated deductions in iSeries
  • Build, maintain, update and implement the Electronic Documents and their functionality in Datatrak
  • Collect legal requirements from client or designated representative to ensure all state requirements are being met
  • Maintain legal requirements from ABC and incorporate into Electronic Membership Agreement Templates
  • Use resources for initial agreement setup
  • Inspect and verify that all ABC required information is included on the Electronic Document for final approval and prior to uploading to Datatrak software
  • Collect feedback and make revisions to templates as requested
  • Update logo on documentation as requested
  • Updating templates into client systems as needed
  • Assists with cleaning up of new and existing agreements
  • Educate and communicate with Product Implementation employees on template creation, and the EAE workflow
  • Take calls from account executives, account managers, field support technicians and clients to implement changes to the templates
  • Field questions pertaining to the clients EAE templates and EAE branding
  • Provide daily and monthly reports for external teams as needed
  • Onsite support of EAE, template branding and collection of feedback as needed
  • Stay current and knowledgeable on all ABC products
  • Attend scheduled training sessions
  • Participate in department meetings
  • Contribute to product development discussions
  • Maintain individual and departmental standards
  • Pull at least 6 cases per day
  • Respond to signed documents within 1 business day
  • Respond to emails within 1 business day
  • Cases should be responded to within 2 business days
  • Work with implementation teams, CM team, and EM team to identify needed documentation and the best format for end-user application
  • Work with outside vendors for optimum solutions for clients to ensure proper pricing and processes
  • Other duties as assigned by management
  • Regular and reliable attendance required
WHAT YOU’LL NEED:
  • Bachelor’s degree or work experience equivalent (2 years)
  • Knowledge of ABC systems including but not limited to iSeries 870, CRM, Datatrak, and ServiceNow preferred
  • Experience in Adobe Creative Suite (InDesign, Adobe PageMaker and Adobe Acrobat) preferred but not required
  • Ability to problem solve using deductive reason skills in a timely manner
  • Basic skills including but not limited to addition, multiplication and division of whole numbers, decimals and fractions
  • Flexibility and adaptability to frequent change
  • Excellent organization, communication, phone, and writing skills with passion for good design and strong attention to detail
  • Strongly developed analytical and troubleshooting skills
  • Ability and desire to learn complex systems quickly
  • High proficiency in documentation tools such as Adobe Suite and One Note
  • Must be customer focused and service oriented
  • Must be able to organize, prioritize, multi-task and complete work with multiple deadlines
  • Must be able to work effectively under frequent interruptions and changing requirements
  • Must keep designated work area clean and free of possible distractions
  • Must type 40 WPM
