Overall Function:

The Director of Operations and Client Services specializes in client service, including the processing of insurance and investment variable produces and other securities recommended during the planning process. The associate is a liaison between the home office, wealth management advisor team and clients and assists in ensuring the maintenance of an efficient and compliant office.

General Responsibilities:

  • Manage Overall Workflow: follow-up from client meetings, manage underwriting, account opening and client onboarding, service requests
  • Provide accountability for the team on production metrics, operational metrics
  • Handle case notes, process correspondence, maintain client files, account forms and other insurance and investment related materials
  • Problem solve and remove bottlenecks
  • Maintain financial advisor’s calendar and schedule meetings with clients and prospects
  • Prepare for client meetings: prepare agendas, information, and review notes for open follow-up items
  • Answer phones, check mail, and manage client service requests
  • Review and modify financial plans and investment/advisory proposals
  • Prepare and process all paperwork needed for insurance and investment accounts
  • Maintain daily system for account follow-ups and service requirements
  • Stay abreast of technology updates and changes to processes
  • Assist with client seminars and marketing
  • Handle personal matters for Advisor as they arise

Qualifications:

  • 2+ years’ experience in Financial Services industry preferred
  • Life and Health licensed
  • Investment licenses (Series 6, 63, etc.) preferred or to be obtained
  • Superior interpersonal skills
  • Extremely organized and detail oriented
  • Excellent oral and written communication skills
  • Able to proactively identify what needs to be accomplished and act
  • Able to practice active listening and communicate in a direct manner
  • Able to manage multiple diverse projects and assignments in a timely and quality manner
  • Able to work both independently and on a team
  • Able to maintain a high degree of confidentiality
  • Able and willingness to grow with the practice
