Position is remote but open to residents of the State of Ohio only. Must reside in Ohio as of start date.

is seeking a mission-minded Associate to join us as a full time (37.5 per week) Director of Facilities.

Through partnership with internal and external stakeholders, this leader ensures that PPGOH facilities reflect our organizational values, provide a safe and welcoming space for patients and associates, and are maintained with high levels of integrity and fiscal responsibility. This role is responsible for providing leadership, development and implementation of daily facilities management and longer-term facilities-related initiatives across Planned Parenthood of Greater Ohio.

WHAT YOU WILL DO

  • Plan, direct, and monitor the activities and operations of the PPGOH Facilities program including building maintenance and upkeep, janitorial, landscaping, snow removal, preventive maintenance, emergency maintenance, etc., and coordinate these efforts with Practice Managers, administrative and program staff, contractors, and other stakeholders.
  • Demonstrate basic knowledge of Facilities and construction trades; the building and safety systems required for medical and business occupancy facilities; the primacy of the patient experience; and vendor management.
  • Prepare and monitor the operational and capital budgets for all affiliate facilities.
  • Present major facility plans including budgets and timelines for review by senior management and/or the Board of Directors.
  • Manage all health center buildouts, relocations or renovations by serving as the project manager in collaboration with Health Services leadership and other stakeholders.
  • Direct the design and construction process to ensure that the architectural and engineering designs of buildings meet the affiliate’s needs, are within budget and meet the regulatory requirements of the state, county or municipal jurisdiction.
  • Select, in partnership with departmental representatives, consultants needed for projects such as designers, space planners, and/or architects.
  • Solicit, negotiate and review bids and contracts received from outside consultants or vendors.
  • Prepare preliminary cost estimates and develop project budgets and other necessary documentation required for approval.
  • Travel to PPGOH sites for periodic reviews, time-sensitive assessments, vendor/contractor/inspector meetings, contract work inspection, bi-annual surveys, etc.
  • Serve as key liaison to property owners of leased facilities; maintain a schedule of upcoming lease renewals; coordinate with the relevant departments in either lease renewal or relocation.
  • Maintain filing system of all Facilities documentation including leases, warranties, maintenance contracts, HVAC/electrical/plumbing documentation, inspection certificates, and other related Facilities documents, including a tracking system for the renewal of Facilities contracts.
  • Maintain established furniture, furnishings, finishes and equipment standards throughout all PPGOH locations. Maintain an inventory of all Facilities assets. Coordinate purchases with the Finance Department.
  • Ensure the consistent good condition of physical plant of all sites. This includes janitorial services, carpet and floor cleaning, painting and any other remodeling or repairs in coordination with appropriate departmental representatives.
  • Oversee all Facilities-focused contractors (janitorial, snow removal, landscaping, maintenance, etc.) to ensure optimal functioning of building systems including mechanical, electrical, and fire/life safety.
  • Responsible for overall implementation, training and compliance of policies and procedures for Facilities.
  • Participate as a key member of organization-wide disaster recovery and business continuity plan.
  • Participates in Quality and Risk Management activities in partnership with VP of Quality, Compliance, and Risk.
  • Maintain high standards of integrity in all associate and stakeholder interactions.
  • Demonstrate entrepreneurial spirit, tactful diplomacy, high energy, and positive attitude in all business dealings and negotiations.


WHAT YOU WILL BRING

  • Bachelor’s degree in related field
  • Minimum 7 years of experience with increasing responsibility for management and support of facilities planning, real estate negotiations and construction/renovation projects required
  • Experience in health care multi-clinic environment (including ambulatory healthcare) preferred
  • Extensive project management experience preferred
  • Experience leading cross-functional diverse teams and collaborating closely with colleagues
  • Excellent written and verbal communication skills
  • Strong customer service orientation with ability to build credible business relationships
  • Exceptional organizational skills, attention to detail, and ability to manage multiple priorities effectively
  • Ability to make informed, independent, and objective judgement/decisions
  • Proficient with Microsoft Office Suite and software programs for facilities planning/management
  • Commitment to the ethos, values, and service standards of Planned Parenthood
