The Convention Services Manager is responsible for communicating with guests and meeting planners to plan and execute successful meetings and events. S/he will work with the Sales Department to ensure contract expectations are met and exceeded. The Conventions Services Manager is responsible for the event supervision by communicating with other departments and ensuring the accuracy of event details. S/he will assist in maintaining the AAA Four Diamond Standards.

The Convention Services Manager will always conduct them self in manner which supports the core values of Sunriver Resort, T rust, Open & Honest Communication, and, Commitment. The Convention Services Manager shall strive to provide exceptional service to both internal and external guests at all times. S/he will be responsible for exemplifying the Sunriver Resort Culture as well as promoting Sunriver Resort as both the Destination and Employer of Choice!

Responsibilities:
  • Works with the sales department to achieve the vision of group meeting and events
  • Establishes strong rapport with meeting planners
  • Generates detailed BEOs and resumes for resort staff
  • Contacts clients to sell special amenities and/or extras to enhance their stay
  • Maintains close contact with clients to determine set-ups, numbers attending, types of facilities required, meal arrangements, times and special needs
  • Communicates effectively with resort staff to ensure smooth delivery of all services
  • Plans and leads pre-convention meetings
  • Maintains strong awareness of trends in food and service
  • Reviews all billings prior to submitting for processing
  • Conducts in-house tours for clients prior to event
  • Acts as point of contact for in-house conventions/catering guests
  • Works with outside vendors to ensure client satisfaction for all events
  • Tours meeting and event space frequently to assure proper set-ups
  • Maintains strong knowledge of meeting space set-ups and A/V requirements
  • Reviews guest feedback through Revinate to ensure continual guest satisfaction
  • Handles meeting planner/guests requests promptly and with high level of accuracy
  • Always maintains a professional demeanor and attitude
  • Maintains an up to date working knowledge of all resort amenities as well as any special events
  • Maintains constant awareness of safety issues, (i.e. broken glass, frayed electrical cords, leaks, broken locks and suspicious persons). Reports all safety incidents to on-duty supervisor.
  • Acts with responsibility towards all company property, supplies and equipment.
  • Maintains a professional appearance. Follows all Sunriver Resort dress code standards.
  • Remains alert, courteous and helpful to the guests and colleagues at all times.
  • Performs other duties as assigned
Qualifications:
  • High school diploma or equivalent
  • Four year degree preferred
  • Prior hospitality experience preferred
  • 2 years event management experience preferred
