Objective

To provide the President, Stockholders and Board of Directors of Midwest Trading Horticultural Supplies, Inc. with accurate and timely general and financial information to achieve the short and long-term goals of the Company. Focus on monitoring and improving the profitability of the organization with defined strategic action. To manage the employees in the administration and areas efficiently and effectively.

Functions/Corresponding Tasks

Finance Operations Responsibilities

  • Responsible for the accurate creation of month and year-end financial statements, reports and analysis. Distribute financial statements to management, Board of Directors and bank institutions.
  • Act as a contact for Midwest Trading in bank relationships together with owners, board and Midwest Groundcovers. Understand all bank accounts loans, and other banking activities.
  • Manage cash flow through control of the checkbook and operating line of credit. Review and approve bank reconciliation.
  • Responsible for company-wide accounting through month and year-end closing process. Support and work with external audit firm for periodic audits. Responsible for the general ledger system.
  • Recommend and implement accounting policies and procedures.

Budgeting

  • Plan and lead the annual operating budgeting process. Monitor and analyze budget reports and provide management with the appropriate information. Manage individual budgets as assigned.
  • Produce financial analysis and budgets for projects, business opportunities/initiatives as requested. Perform sales analysis, profit analysis and research support for special projects.
  • Manage capital disbursements.
  • Prepare financial information needed for loaning institutions and outside CPA firm. Review financial information with these parties on a regular basis.
  • Assist in long term financial planning for the company.
  • Serve on appropriate committees (both MT and intercompany) relating to long term goals – both operational and financial. Develop action plans to accomplish these goals.
  • Train staff where applicable on accounting theory.

Accounting Administration Operations Responsibilities

  • Responsible for administrative operations including invoicing, accounts receivable, accounts payable, and general ledger.
  • Manage payable and receivable operations, including intercompany payments. Approve account coding and validity of accounts payable documents.
  • Manage tri-monthly check runs along with cash flow. Provide payable reports to management and attend payable meetings. Initiate borrowing or payback on the operating line of credit.
  • Manage delinquent customer accounts, work with outside attorney for any legal collection efforts deemed necessary.
  • Manage customer and vendor credit terms process.
  • Responsible for depreciation schedule.
  • Responsible for tax records, tax coordination and submission. Manage any sales tax audits as required.
  • Oversee management of company credit cards to maximize the value and control costs while assuring regulation of credit card users.
  • Manage any contracts or leases for equipment, etc.

Administrative Duties

  • Recruit, hire, manage, train and motivate the staff in the administrative department.
  • Coordinate with all departments to facilitate overall operations.
  • Provide ongoing feedback and formal evaluations. Support and enforce company policies, maintain job descriptions and set annual goals with staff.
  • Delegate appropriate duties to same personnel.
  • Coordinate intercompany support between Midwest Trading and Groundcovers.
  • Manage and develop procedures within the department.

Information Technology

  • Understand and maintain general knowledge of the ERP (Ross) system and the network.
  • Coordinate intercompany issues regarding the network and ROSS system projects and initiatives with MG management and personnel. Act as a ‘liaison’ representing the needs of Midwest Trading in relation to the Midwest Companies as a whole
  • Provide assistance and training on ROSS system.
  • Evaluate hardware and software needs in conjunction with the IT Manager and MG Controller.
  • Develop and implement new/customer applications on the ROSS system.

Long Range Strategic Planning and General Management

  • Participate in and contribute to the Long-Range Strategic planning for Midwest Trading by providing financial expertise and analysis.
  • Focus on achieving the profitability goals of the company by participating in pricing activities, gross margin analysis and operating expense control.
  • Support, plan and develop future changes that will support the collaboration between the Midwest companies.
  • Support, develop and train supervisors and managers on financial or other information, to help them grow and be successful, particularly in reaching financial goals.
  • Represent the company at industry and related events.

Education / Experience Prerequisites

  • Bachelor’s degree in business, finance or accounting.
  • CPA, MBA and/or professional accreditation preferred.
  • 8 years management experience in accounting or finance operations.
  • Business operations leadership experience.
  • Experience in horticulture, agriculture or the green industry is preferred.
  • Experience in a family business is valued.

Job Type: Full-time

Pay: $95,000.00 - $105,000.00 per year
