The Redwoods Group is currently seeking a Consulting Admin in our Research Triangle Park office. The selected candidate will be part of a team of consulting professionals working with our customers. The ideal candidate will believe in our mission, apply a swift and responsive approach to all customers and work closely with consultants on efficiencies and organization.
Job Description:
Responsibilities will include:
    • Assist Consultants to perform daily functions necessary to move work forward with customers and internal stakeholders
    • Assist internal and external clients when Consultants are out of the office
    • Take notes during meetings and calls and post to appropriate systems
    • Transcribe voice memos, type up notes
    • Update customer contacts in appropriate systems
    • Send out client materials as needed (DVD’s, Resources, etc.)
    • Support completion of expense reports, process receipts and assist accounting with reconciliation
    • Anticipate demands and coordinate work to enhance Consultants effectiveness and efficiency including reminders, meeting scheduling and/or preparation time
    • Proactively manage calendars, including reaching out to customers, planning meetings and visits
    • Gather and prepare ‘Travel Packets’ to ensure preparedness for calls and on-site visits (gathering data, materials and creating reports)
    • Follow-up on customer requests and system documentation after visits and call
    • Further support Consultants customer-facing work, including and not limited to:
    • Draft Engagement Plans based on visit notes and direction provided by Consultants
    • Analyze Engagement Plans to determine areas of focus during upcoming calls or visits
  • Prepare for customer interactions, by listening to recordings, reviewing notes, researching account, city/state for applicable laws
  • Analyze materials and reports to determine which to use and how/when they are impactful
  • Create Stewardship Reports to capture work completed throughout the policy year
  • Manipulate data in excel, prepare reports, interpret information and identify key takeaways
  • Organize and support Team building activities, individual recognition, volunteer opportunities and community building as requested
    • Assist with technology solutions including coordinating meetings, webinars, audio and video conference calls and provide administrative support to make work more efficient and replicable
    • Plan and provide support for quarterly team meetings, ongoing training and volunteer opportunities including
    • Act as meeting point person, handling communication with in-person and remote guests and participants
    • Assist in preparing agendas, tracking requested agenda topics and coordinating with presenters
    • Record meetings, take minutes,
    • Work with speakers to verify availability, objectives, expected outcomes, and organizing meeting requests
  • Room set-up and break-down including, setting up appropriate technology (video conference, phone, speakers, cameras, presentations, etc.)
  • Procure food and organize lunches
