The Office of the Chancellor has an outstanding opportunity for a Chief of Staff to join their team.

The Chief of Staff to the UW Bothell Chancellor serves as principal advisor and is a member of the campus senior leadership team. This individual serves as the Chancellor’s liaison with campus leadership and university administration and works with people within and outside the university toward fulfilling the university’s strategic goals. Reporting directly to the chancellor and acting under delegated authority while exercising best judgment, the Chief of Staff is responsible for all operations of the Office of the Chancellor, including direction and oversight of staff, budget forecasting and deployment, administration, communications, policies, and procedures.

The Chief of Staff is required to have broad knowledge of the campus vision, programs, projects and issues; higher education policy; and government and community relations. The Chief of Staff coordinates and facilitates the execution of short, medium, and long-term strategic initiatives on behalf of the Chancellor; and uses sound judgment in tactical decision making.

As the principal manager of executive advisory groups, the Chief of Staff is charged with bridging different communication flows between senior leaders in administration, academic units, and academic support units. This person possesses highly sophisticated verbal and written communication skills; is highly adaptable and can represent the Chancellor to a wide variety of audiences.

The Chief of Staff provides guidance and direction for the support staff for the chancellor and their office, managing time and information relative to the Chancellor’s and the campus strategic objectives. This role is critical in tracking key decisions to execution, communicating with appropriate stakeholders, and reporting back on execution/implementation to the Chancellor and the Chancellor’s leadership team. This role also coordinates the functioning of the executive suite in the UW Bothell campus consisting of the offices of the four Vice-Chancellors.

DUTIES AND RESPONSIBILITIES

Management and Leadership:

  • Collaborates with staff, faculty and students across the UW Bothell campus and the university at large to accomplish projects and support achievement of the UW Bothell strategic plan and its goals.
  • Proactively identifies potential strategic challenges, recommends solutions, and works collaboratively to resolve and/or mitigate the issues.
  • Serves as managing member of the Chancellor’s Executive Team (CET), Chancellor's Cabinet, Chancellor’s Advisory Council on Students (CACS) and other executive advisory units, participating directly in institutional policy development and decision making.
  • Coordinates with Chancellor’s executive assistant to integrate the business of the Chancellor’s executive advisory groups in developing, resourcing, and implementing core campus initiatives. Plans annual agendas for the CET, Cabinet, and others, incorporating campus and tri-campus issues of immediate concern, as well as long term items for discussion and action.
  • Facilitates follow-up and completion of actionable items arising from executive groups and conversations either directly or by assigning functions or items to the appropriate unit or campus leader. Delegates follow-up as appropriate to Chancellor’s executive assistant.
  • Represents the Chancellor’s interests and priorities, by directly assisting the Chancellor and by guiding administrative decision making throughout the campus in ways that are consistent with University of Washington and UW Bothell policies, procedures, and strategic priorities.
  • Actively analyzes, researches and gathers information from appropriate campus and university leadership and/or offices and for Chancellor's briefings. Briefs the Chancellor on projects, meetings and appearances. Provides insight and knowledge of historical context and data as they relate to current issues and assists the Chancellor in policy development and decision-making.
  • Evaluates programs or functions, policies and procedures that include the Chancellor and/or their office and authority; identifies issues and develops alternative solutions which may include changes to programs, policies and procedures.
  • Oversee the continuous improvement of processes and systems to meet the evolving needs of the organization.
  • Partners with the Chancellor and senior management team in the implementation of strategic priorities.
  • Provide direct supervision for the Director of Government and Community Relations

    Office Management:

  • Oversees and manages campus initiatives and projects, including deploying appropriate project management tools and methodologies, managing project teams, and setting and tracking deliverables and timelines. May supervise staff directly or indirectly through matrix reporting relationships.
  • Oversees allocation of the Chancellor’s effort and time to campus strategic priorities, advising the Chancellor regarding key constituencies, providing context and background information on issues, and coordinating research, projects, and initiatives as assigned by the Chancellor.
  • Fosters an ecosystem of service, efficiency, and inclusiveness. Actively promotes team self-reflection and continuous personal and professional development.
  • Serves as a member of the campus Administrators' Council.

    Communications Management:

  • Manages internal and external communications for the Chancellor and their office, working in collaboration with campus leadership and appropriate units. The Chief of Staff reviews incoming correspondence, responding and/or routing as appropriate; prepares correspondence, meeting notes, and reports; reviews and edits written materials.
  • Serves as principal in charge of constituent management for the Chancellor’s Office. Refers, responds, consults with campus/university leadership or offices and confers with the Chancellor as needed.
  • Identifies opportunities for engaging the Chancellor with the campus and broader community, collaborating with Marketing and Communications, OEHR, and other support units.
  • Proactively engages and develops relationships with all campus constituents to ensure the Chancellor’s messaging is reaching and addressing campus issues and needs.
  • Reviews and approves email sent or sponsored by the Chancellor to the campus as a whole. Acts as executive editor in all materials to be signed or cosigned by the chancellor.

    Other duties as assigned:

  • Manages special projects and initiatives and assists in coordinating projects across organizational units.
  • Establishes and maintains excellent collaborative relationships and maintains excellent public relations with all constituencies

    MINIMUM REQUIREMENTS


  • Master's Degree in Education, Public Policy, Administration, or related field.
  • Nine or more years of progressively responsible experience in higher education administration, preferably at a public research or public regional comprehensive university.

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    ADDITIONAL REQUIREMENTS

  • Experience in budget management and development, and understanding of modified RCM budgetary model.
  • Knowledge of the goals, objectives, structure and operations of a major public university.
  • Understanding of institutional policies and procedures and the regulatory environment for higher education (legislation, accreditation standards, etc.).
  • Knowledge of fundraising (stewardship and cultivation) programs, and best practices.
  • Ability to gather data, compile information, and prepare reports. Highly sophisticated writing and synthesis skills.
  • Demonstrated ability to create, compose, and edit correspondence, briefings, talking points and other written materials.
  • Demonstrated ability to work within a highly diverse setting; demonstrated commitment to goals of equity and inclusion.
  • Ability to make administrative/procedural decisions and judgements.
  • Ability to analyze complex issues, conduct thorough and appropriate fact-finding inquiries, reason logically and articulate sound solutions.
  • Ability to hire, supervise and train employees.
  • Skill in examining and re-engineering operations and procedures, formulating policy, and developing and implementing new strategies and procedures.
  • Ability and willingness to share ideas, be open to the ideas of others, and work toward organizational goals and interests.

    DESIRED QUALIFICATIONS

  • Working knowledge of University of Washington systems and procedures.
  • Working knowledge of Washington state ethics policies and rules affecting the operations of the University of Washington tri-campus structure.
  • High tolerance for change and dealing with uncertainty; the ability and willingness to work in UW Bothell’s ever-changing and fast-paced environment to solve complex concerns.

  • Work to be performed across UW Bothell campus and can have occasional need to visit the Tacoma and Seattle campus.
  • Must be available to work occasional weeknights and weekends (infrequent).
