Future Stitch is looking for a part-time Bookkeeping and Administrative Coordinator to join our team in Oceanside, CA. The successful candidate will be responsible for organizing the finances of the factory, managing invoices, packing lists, and updating inventory. They will provide administrative support to the team, prepare internal operational reports, and coordinate with our parent company in China.


Responsibilities:

  • Organize invoices, packing lists, and update inventory.
  • Process invoices and payments, maintain A/P procedures compliant with company policy.
  • Ensure efficient vendor payment processing while maximizing working capital/liquidity and optimizing vendor relationships.
  • W-9 and 1099 management.
  • Provide administrative support to the team.
  • Prepare internal operational reports.
  • Coordinate with our parent company in China.
  • Manage financial records and ensure accuracy.
  • Assist with bookkeeping and other finance-related tasks as needed.
  • Help to develop and maintain financial policies and procedures.

Missions:

  • Implement budget tracking system in Q2 2023.
  • Conduct review of vendor contracts and facilitate alternatives for better terms by end of Q2 2023.
  • Improve accuracy of financial reports by reducing errors by 50% in Q2.
  • Reduce the number of delinquent accounts by 25% by end of Q2.
  • Implement a new system to streamline expense reporting and approval process by the end of Q3.

Requirements:

  • Bachelor's degree in accounting, finance, or related field preferred but not required.
  • 2+year(s) experience in bookkeeping, financial management and cost accounting.
  • Strong Organizational and time-management skills, as well as a high attention to detail.
  • A positive, can-do attitude, with a high level of confidence to function well in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Ability to work independently and take initiative.
  • Proficient in Microsoft Office and QuickBooks.
