Summary
Our mission is to provide compassionate consulting services to local, state, federal and industry clients, active in disaster response, recovery, and preparedness. We will be on time, on target, and on budget with the services aligned to the evolving threats and hazards facing our nation.
The Billing Support Associate will fill a critical administrative role to support invoicing and internal accounting. This role will help provide timely payments, communication, and detail for successful internal financial operations.
Tasks, Duties, and Responsibilities

  • Calculate and prepare project invoices, including necessary invoicing schedules and back-up data.
  • Ensure weekly/monthly invoices are submitted to client by a preestablished due date in prescribed format.
  • Review timesheets and agree to contract and PO.
  • Ensure proper billing of subcontractor support.
  • Review billing practices to ensure invoice accuracy within contractual terms
  • Perform duties under general supervision.
  • Report and communicate progress to division supervisor.
  • Work with project staff to ensure that bills go forward as quickly as possible.
  • Following up on needed approvals to finalize bills.
  • Perform other duties as assigned.

  • Ability to be flexible and make quick decisions as disasters change and develop.

Experience and Education Required

  • 1-3 years’ experience in billing, invoicing, finance or accounting.
  • Intermediate to advanced level customer service experience.
  • Proficient in Microsoft Office 365, particularly Excel with working knowledge of advanced functions.

Experience and Education Preferred

  • Proficient with Salesforce.
  • Emergency Management invoicing/billing preferred.
  • Bachelor’s degree.

Expected Hours of Work
Schedule may vary and require work on evenings and weekends and dependability and punctuality are paramount. Typical schedule will be Monday through Friday 8am -5pm MST.
Physical Demands

  • Mobility required on-site with clients.
  • Sitting or standing for hours at a time.
  • Ability to work at a computer for prolonged periods of time as needed.

Work Environment

  • Must be available to work on-site in our Denver office or remotely.
  • Emergency management consultants may work in an office or home environment or be deployed to the field which may require working outdoors in adverse weather conditions.
  • Work may be on-site with clients ex: EOC, hospital, debris sites or local government buildings.
  • All AC Disaster Consulting (ACDC) positions are remote work site positions with the home location agreed upon at time of hire.
  • If the remote work site locations change, ACDC Human Resources must be made aware, and leadership needs to approve any site changes for business registration and payroll tax purposes.

Additional Qualifications

  • Must be 18 years of age or older.
  • Must pass company and any applicable client background check, ACDC background check, O365 basic skills assessment and reference check upon offer of employment.
  • Eligibility to work in the United States is required.
