About the Position:

This position will be located at our Kansas Department of Corrections Central Office, in Shawnee County.

Compensation:
$29,744.00 to $34,444.80/Annual ($14.30 to $16.56/Hr.)*

  • Salary can vary depending upon education, experience, or qualifications. Though this position is unclassified, pay is equivalent to classified Pay Grade 20, Steps 4-10.

Position Summary & Responsibilities

Position Summary: Performs specialized and diverse administrative support work in the areas of benefits administration, assistance with open enrollment activities, and SHaRP data administration which includes appointing new hires/rehires/transfers and entering terminations.


Job Responsibilities may include but are not limited to the following:

  • Enter hires (i.e. creation of new employee records), transfers and terminations into SHaRP while ensuring Job Data and Personal Data is complete and accurate.

    • Enter appropriate information into MAP for health insurance when processing hires, transfers, and terminations.

    • Troubleshoot benefits problems and questions from employees regarding new enrollment in MAP for health insurance benefits.

    • Add and/or remove information in SHaRP, MAP and KPERS (i.e. leave of absence) as needed to keep records up-to-date.

    • Enter appropriate information into the KPERS Web Portal for hires, transfers, and terminations.

    • Serve as backup for supervisor for certifying last payroll for KPERS retirement benefits.

    • Assist KDOC facilities with hires, transfers, and terminations.

    • Train new facility HR staff in SHaRP appointments, transfers, terminations, and benefits as needed.

    • Complete verifications of employment within 24 hours of receipt

  • Conduct New Employee Orientation (NEO) for new hires and transfers to Agency 521 by explaining benefits and coordinating presentations by EEO Manager and Classification and Compensation Manager.

    • Serve as backup in explaining and demonstrating to new employees how to access the SHaRP Employee Self Service Center to complete a timesheet.

    • Prepare NEO notebooks by ensuring notebooks have current forms.

    • Serve as backup to supervisor for sending Shared Leave Requests and Donations to the Department of Administration for review and determination by the Shared Leave Committee which meets every Wednesday (except on holiday weeks).

    • Prepare and disseminate correspondence and forms as needed.

  • Serve as backup for Payroll Specialist in the following duties: For KDOC Agency 521, each payroll period review timesheets for appropriate use of leave including earning and using comp time, overtime, holiday credit, inclement weather and other types of leave reported on the timesheet.

    • Respond to time and leave questions and advise on appropriate reporting of hours on timesheet.

    • Ensure timesheets are submitted by deadline so employees are paid accurately and on time.

    • While processing payroll, reviews reports and duty logs to ensure all employees are paid appropriately.

    • Troubleshoot Agency 521 and facility timesheet and payroll issues. Provide assistance to facility HR staff and other employees on time and leave issues.

    • Maintain a working knowledge of Article 9 of the Kansas Administrative Regulations (KARs) and the Fair Labor Standards Act (FLSA) in order to advise on hours worked and leave usage.

    • Update HR Reporting Database each pay period with new hire and termination information that didn't transfer over from SHaRP.

    • When receive notice of Optional Group Life Insurance (OGL) enrollments and/or changes, ensure entered into SHaRP by KPERS and deduction is withheld from appropriate payroll period.

  • Assist supervisor with health insurance open enrollment activities and benefits administration.

    • Serve as additional signer for KPERS Designated Agent.

    • Responds to questions regarding benefits, especially during health insurance and optional group life insurance open enrollment.

    • Attend annual benefits open enrollment training and KPERS designated agent training and use expertise to assist employees with benefits questions.

  • Serve as backup for entering completed performance reviews into SHaRP for all Agency 521 employees and file in the appropriate personnel file.

  • Serve as backup for supervision of the Inmate Clerk in Central Office. Perform other duties as assigned.

Qualifications

Minimum Qualifications: Two years of experience in general office, clerical and administrative support work.

Education may be substituted for experience as determined relevant by the agency.

Preferred Qualifications:

Experience with:

  • Statewide Human Resource and Payroll System (SHaRP);

  • Microsoft Outlook, Word, Excel, PowerPoint, and Access computer applications;

  • Sorting/processing incoming and outgoing mail for a large department/agency;

  • Sorting and filing documents in a record or filing system.

  • Ability to communicate effectively both verbally and in writing;

  • Ability to exercise a high level of attention to detail.

Post-Offer, Pre-employment Requirements: Must possess and maintain a valid Driver's License. Must pass a criminal history records check.
