Job Summary
The BCT Program Data Manager is responsible for all aspects of the Blood Cancers, Cellular Therapeutics, and Transplant (BCT) Program’s clinical data management including assisting with the maintenance and data integrity of the clinical program’s databases as well as supporting the accurate and timely reporting of data to external agencies. The employee is responsible for the management of the BCT Program data. This employee works with personnel from the BCT Program including inpatient and outpatient clinical staff, collections, and processing laboratory staff as well as the BCT Program Quality Coordinator. The employee will also work with BCT Program Physicians and Advanced Practice Professionals to ensure that all necessary data is collected and reported, as appropriate. This employee is also responsible for providing technical support to the members of the BCT Program

Responsibilities
  • Exhibits guiding behaviors that reflect the core expectations of UofL Health and support the facilities’ mission and vision
  • Oversees the BCT Program clinical database and data entry
  • Maintains database for pre- and post-transplant patient information
  • Creates and modifies data items and reports for the database
  • Assists in maintaining interfaces with hospital and other systems to reduce data entry duplication and enhance access to information
  • Fulfills data requests for information and/or statistical summaries from database related to managed care contracting, clinical care, quality, strategic decision-making, research, publications, or presentations
  • Coordinates entry of accurate data through communication with BCT Program staff and physicians
  • Completes the data for annual RFIs (Request for Information) for contracted Payors as directed by the Administrative Program Director
  • Attends weekly patient meetings including the Multidisciplinary Meeting to obtain patient information
  • Coordinates the completion of data forms for Center for International Blood and Marrow Transplant Research (CIBMTR)
  • Annually reviews the Outcomes Data Report and Center Volume Data Report before publication on the US Department of Health and Human Services website
  • Obtains information for forms by reviewing charts and clinical information available through clinical information systems including; census reports, cancer registry, Social Security Death Index, and follow up with referring physicians
  • Participates in audits and/or site visits by external organizations
  • Provides monthly reports of number of transplants (by type), new patient visits, and consults
  • Provides statistical charts and tables to communicate outcomes and benchmark data to the BCT Program Quality Committee
  • Provides transplant data for the National Marrow Donor Program (NMDP) and Foundation for the Accreditation of Cellular Therapy (FACT) Accreditation surveys
  • Prepares presentations of outcome data as requested by BCT Program or physicians
  • Assists with entry and retrieval of clinical research data, as appropriate
  • Designs databases, spreadsheets, tables, report formats, and queries to store, retrieve and report data, as needed
  • Collaborates with peers to audit accuracy of data being submitted to CIBMTR against source data
  • Provides technical support to BCT Program personnel
  • Serves as technical liaison between the Program and internal and external technical sources.
  • Provides data back-up support as needed
  • Provides training to Program personnel, as appropriate
  • Attends seminars and training sessions to learn methods of data collection and filing reports for various registries
  • Stays current with new hardware and software technologies that may be utilized by BCT personnel for data capture and consistent documentation. Provides this information, as appropriate
  • Organizes and attends regular meetings with physicians and clinical staff designated to assist with data management
  • Consistently achieves required data accuracy and audit completion as required by both internal policies and external agencies
  • Works with the BCT Program Quality Coordinator as well as associated physicians and clinical staff to develop and execute corrective action plans should data integrity fall below acceptable limits documents required actions and outcomes.

Required Qualifications
  • Bachelor’s Degree in an appropriate field (information technology, business administration, biological or health science) or equivalent combination of education and experience

Preferred Qualifications
  • Master’s Degree in related field
  • Prior experience providing information systems support
  • Previous regulatory compliance experience
