Posting Summary
Rutgers, The State University of New Jersey, is seeking an Associate Dean of Advising and Academic Services for the School of Arts and Sciences. The Associate Dean of Advising and Academic Services for the School of Arts and Sciences is the lead administrator and director of the Office of Advising and Academic Services (OAAS) at the School of Arts and Sciences (SAS) and serves as the principal custodian of SAS academic student records. The Associate Dean represents the OAAS in School, campus, and university-wide roles. This position provides oversight of and guidance on the academic policies and procedures of the OAAS, is responsible for the academic advising and academic services support of 21,000+ SAS students. The Associate Dean is the primary agent responsible for overseeing the development of and communication of academic policies, deadlines, and other academic issues to the students of the school, as well as campus-wide faculty and staff constituents that support and interact with our students.

Among the key duties of this position are the following:
  • Provides leadership of the Office of Advising and Academic Services (OAAS) and establishes, oversees, and assesses OAAS priorities and practices and is responsible for offering a welcoming, inclusive, and safe student service community.
  • The Associate Dean is responsible, with input and guidance from faculty at the School and the SAS Office of Undergraduate Education, for developing, overseeing, evaluating, coordinating, and adjudicating decisions and actions of the six administrative/advising functional units of the OAAS: the Office of First Year Students; the Office for Sophomore and Junior Advising; the Office of Seniors; the SAS Transfer Center; the Office for Special Populations, Reenrollment, International, and Non-Traditional Students (SPRINTS); the Office for Academic Standing and Retention; and the Office for Administration & Student Data.
  • The Associate Dean is the direct supervisor of the Directors for each of the above-named teams and chairs the OAAS Leadership Board comprised of these directors, which establishes and implements priorities, practices and strategies for the SAS academic advising staff and administrators.
  • Oversees outreach and enhancement programming to students in support of the school’s academic mission; serves on committees such as the SAS Core Requirements, Academic Standing, and Convocation committees as requested, as well as serves as liaison and point of contact for various SAS offices (SAS Honors Program, SAS Scholarships Office, SAS EOF Office, SAS-IT, etc.) regarding issues directly affecting SAS students.
  • The Associate Dean continuously evaluates and adapts policies and processes for effectiveness, transparency, and contemporary utility.
  • The Associate Dean serves as a central resource, model, and coordinator to advising colleagues in other academic and student service units to provide them with rationalized information and practices.
  • The nature of the SAS student population and degree requirements, including classes and credentials from multiple academic units, as well as the sheer volume (SAS students represent half of all undergraduates in Rutgers-New Brunswick), necessitates concerted collaboration and coordination between the OAAS and these external constituencies in a way that is unique on campus. Thus, the Associate Dean serves as an ad-hoc leader among the New Brunswick advising community and convenes cross-unit collaborations, conversations, activities, and professional development opportunities designed to enhance and coordinate consistent and transparent efforts and open lines of communication on the part of the community as a whole.

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement.

Qualifications

Minimum Education and Experience
  • Master’s Degree
  • A minimum of six (6) years of experience in an Arts and Sciences academic advising setting, with at least three (3) years in a supervisory and leadership capacity.

  • Significant administrative experience.
  • Possess outstanding organizational and communication skills
  • Have substantial understanding of the issues and trends related to undergraduate academic progress.
  • Demonstrated skills to apply principles and concepts to everyday challenges.
  • Must demonstrate knowledge and understanding of strategic planning, management, team-building, and collegial leadership skills.
  • Must possess political astuteness, excellent decision-making skills, and the ability to interface with a diverse group of constituents ranging from students to parents to faculty, staff and the general public.
  • Must have demonstrated ability to work collaboratively with the goal of providing outstanding service to undergraduates and the SAS community.
  • Must have excellent computer skills including database management.
  • Must have working knowledge of all Microsoft Office applications and be able to learn new electronic systems at a rapid pace.
  • Must demonstrate strong attention to detail to successfully manage a large, complex, varied staff and student population.

  • Familiarity with the academic policies, procedures, and administrative structure of a large public university.
  • Demonstrated ability to coordinate efficient and effective delivery of wide variety of academic services to a diverse group of students and faculty.
  • Comfort in communicating via social media channels.

Equipment Utilized
  • Position will need to become familiar with wide variety of software used in an academic services environment such as Degree Navigator, IMS, SalesForce, Tableau, Microsoft Office Suite, Canvas, ImageNow/Perceptive Content, MyAdvisor, and Degree Navigator, which are used in a daily capacity in desktop, laptop, and mobile platforms. Various customized databases are also used daily, including the Senior Database, MyMajor/Grad Date, and the re-enrollment database.
