Summary
Responsible for planning, organizing, developing, and directing the overall day services for the assigned location in accordance with the agency mission, strategic objectives, and current policies and procedures, as well as state and federal laws, regulations, and guidelines.
Schedule: Monday - Friday from 8:00am - 4:00pm
Essential Job Functions
  • Direct the day-to-day operations of the agency’s departments as assigned.
  • Develop innovative programming, curriculum and community inclusion opportunities for all participants based on their individualized assessments.
  • Collaborate with employment services staff to ensure curriculum prepares participants for vocational opportunities in the community, and that staffing is coordinated for existing employment opportunities.
  • In collaboration with the clinical department, manage referrals, enrollments, and discharges for assigned services. Promote these services through tours, emphasizing program highlights, and increasing enrollment.
  • Manage family, participant, staff, and community complaints proactively.
  • Create autonomous teams through the processes of supervision, mentoring, and professional development with lead managers and program managers. Overarching responsibilities include interviewing, hiring, training, motivating, performance appraisals, developing goals, staff development and mentoring of managers. Provide positive management to direct reports through regular supervision meetings.
  • In conjunction with the Direct of Day Services, develop and monitor yearly objectives for assigned services. Maintain all required documentation and metrics to track progress for these objectives. Ensure all site level programmatic goals and objectives are met.
  • Lead regularly scheduled management team meetings. Coach and develop supervisors/managers to be strategic and creative leaders in the provision of day services.
  • Ensure services meet MassHealth, Department of Developmental Services and CARF regulations and requirements including maintaining staffing ratios and regulatory staffing requirements, safety, etc. Ensure safety procedures are followed and that equipment is properly maintained. Review and revise emergency procedures and safety plans for assigned location.
  • Ensure that the assigned services operate within established budget guidelines. Assist the Director of Day Services with developing and monitoring the yearly budget for assigned services. Maintain appropriate financial records as required by the agency and other regulatory agencies. Ensure that adequate supplies are order for program curriculum delivery. Monitor attendance and contract utilization, analyze trends, and determine opportunities for improvement in this area. Work with managers and stakeholders toward this end.
  • Ensure that staffing requirements are met each day to implement services and provide coverage. Monitor the implementation of established curriculum in conjunction with developmental skills areas. Work with managers to schedule and ensure the implementation of community-based activities that promote personal choice, community inclusion, dignity and respect, while enhancing personal skills.
  • Participate in various aspects of Labor Relations including but not limited to labor management meetings, internal investigations, and progressive discipline.
  • Oversee the implementation of Day Habilitation Support Plans, Behavior Treatment Plans, Individual Support Plans, and other service plans which enable participants to increase their self-sufficiency and ability to fully participate in services. Develop and oversee processes to ensure the tracking and timely completion of service plan paperwork. Oversee system of approvals in HCSIS for DDS documentation.
  • Oversee and Review billing data and documentation. Ensure that there are systems are in place for accurate data coding and entry.
  • Attend and participate in all agency management meetings, team meetings, and external meetings requested by supervisor, such as quarterly meetings, funding sources, etc.
  • Ensure that facility and vehicles are well maintained working with the facilities manager.
  • Facilitate training for staff, instilling a clear awareness of the agency’s mission and goals while fostering the development of staff. Maintain customer focus at all times in the delivery of services. Foster an environment which is committed to quality, responsiveness to customer needs, and professionalism in customer relationships.
  • Ensure compliance with CARF, DDS, MCB, MRC, Mass Health regulations, and agency policies and procedures.
Experience/Education
  • Bachelor’s degree in a health-related field or human services with at least three years of relevant health care experience working with people with developmental or Intellectual disabilities, of which at least two of those years must have been in a supervisory role.
  • Six years of relevant health care experience, with three of those years serving in a supervisory role, may be substituted in lieu of a bachelor’s degree.
  • Candidates with DDS and Medicaid regulation experience as well as CARF Accreditation and survey and certification process experience preferred.
  • Previous experience managing/working in a unionized workplace highly desirable.
