Your Role as The Recruitment and Program Operations Coordinator

The Recruitment and Program Operations Coordinator partners closely with the program team. The main function is to be the local staff lead on AmeriCorps recruitment, hiring on-boarding and training for the Oregon AmeriCorps team. In close collaboration with the Program Director, the Recruitment and Program Operations Coordinator will create and execute the Oregon site's AmeriCorps recruitment and retention strategy. This role will also provide operational and logistical support to the program team for student events, AmeriCorps member training, technology distribution and training, and AmeriCorps record and documentation.

Essential Job Functions

  • Lead AmeriCorps Recruitment and Management (60%): Serve as the site lead for annual recruitment, selection and hiring of AmeriCorps members. Coordinate local recruitment and interview opportunities. Train, coordinate and support leadership team in their recruitment and selection efforts. Build relationships with colleges and universities to assist in recruitment efforts, implementing best practice strategies for recruitment. Maintain and update applicant tracking system daily. Utilize creativity, and out of the box thinking to create, implement and lead effective recruitment strategies to maintain a full AmeriCorps team and active candidate pipeline for mid-year openings. Monitor member files, and other management activities as appropriate to ensure AmeriCorps compliance. Support the site and national teams in collecting needed reporting data and preparing all required quarterly or annual reports.
  • Support Onboarding, Training and Retention of AmeriCorps Members (25%): Assist the program team with the onboarding processes and training for AmeriCorps members. Lead site operations for Kick Off planning and logistics for all incoming AmeriCorps members. Assist program team in the development and implementation of an AmeriCorps training calendar; help prepare and evaluate trainings for AmeriCorps members as they pertain to operations, AmeriCorps compliance and communications. Assist the program leadership team in the planning of orientation, trainings and special events. Ensure all team members have the equipment and technology they need to begin their term of service and collect all materials when they complete their term of service. Coordinate and maintain AmeriCorps records and documentation such as Teleservice Requests, Evaluations and Oregon Volunteer approvals.
  • Program Operations (15%): In close collaboration with the Program Director support the overall operations of the Oregon program team. This includes some project management duties and leading on special team projects and events. Additionally, this person will be cross trained on office wide operations duties and work in collaboration with the Development and Administrative Associate role to ensure office runs smoothly and that there is back-up coverage of operations duties that impact the whole team.

What You Bring

Education/Certifications:

  • Bachelor's degree required.

Experience:

  • A minimum of one years related work experience required, including one year of dedicated recruitment experience; college recruitment experience strongly preferred.
  • Demonstrated success in recruiting diverse applicant pools highly desired.
  • AmeriCorps member experience preferred.
  • Willing to work a few evenings and weekends.

  • Ability to prioritize and manage multiple projects and meet deadlines.
  • Excellent communication and interpersonal skills, both verbal and written.
  • Track record of operating as a highly organized self-starter, eager to innovate and create new efficiencies.
  • Strong computer skills, including demonstrated proficiency in: Microsoft Office Suite.
  • Ability to troubleshoot minor technology issues and serve as liaison between site and tech support company.

Physical Requirements:

  • Ability to lift up to 15 pounds when needed.
  • Office environment with limited travel.
  • Ability to stand and/or sit for a minimum of 7 hours a day.
