Job Description:
Keck Graduate Institute (KGI) seeks an Outreach Coordinator to assist the outreach team and needs of the department. The Outreach Coordinator will be responsible for collaborating with the Director of Outreach to provide support in all aspects of outreach, including planning, execution, and tracking of activities. The Outreach Coordinator will also serve as an active admissions team member, participating in other events and activities as needed.

Education and Experience:
Bachelor's degree required. Bachelor's degree in Business, Marketing, Communications, or Life Science preferred. Bilingual preferred. 2+ years of experience in admissions, recruitment, sales, marketing, applied life science or demonstrated success in a similar position in within an accredited higher learning institution preferred.

Manage administrative needs of the outreach team:
Order and maintain inventory of marketing materials and give-a-way items
Clean, upload, and track prospective student data in CRM and follow up in a timely manner
Oversee intercom website chat feature
Coordinate meals, materials, and scheduling of outreach and department events as needed
Configure virtual event booths and materials as needed
Make phone calls to prospective students

Support the outreach team in planning and hosting recruitment activities:

Develop and execute a year-long webinar strategy for prospective students
Participate in local info sessions, fairs, conferences, and other events as needed
Give in person and virtual presentations about KGI programs to various audiences
Oversee and participate in K-12 outreach in collaboration with Director and Dean
Maintain knowledge of KGI programs and related industries

Assist in CRM management and communication plans:
Prepare and send th monthly e-newsletter
Aid in developing and updating communication plans
Create, manage, and analyze dashboards and reports
Maintain and update campaigns

Other duties needed to assist the outreach team and admissions division:

Contribute to visit days and other division wide events
Conduct general office duties, including invoicing, budgeting, reconciliation, etc.
Manage ad-hoc projects assigned by director, recruiters, and/or Dean
Collaborate with Admissions Assistant to plan admissions events
Collaborate with GA's on assigned tasks in support of outreach efforts

Demonstrated proficiency in social media, internet research, and Microsoft Office Suite
Self-directed and motivated individual with the ability to work autonomously
Strong organizational and multi-tasking skills
Ability to meet deadlines and to adapt to a rapid-paced work environment with flexibility and initiative
Ability to make ethical decisions, doing what is always best for the students and institution
Excellent presentation skills with messaging that is clear, concise, accurate, and relevant
Able to travel extensively between campuses and other locations for meetings and outreach events
Excellent communication skills, both oral and written
Proven skills utilizing tact and diplomacy with public, students, faculty and staff
Experience converting and motivating target groups to take action
Experience maintaining a database and/or application system (Salesforce.com or Enrollment Rx a plus)
Must possess and maintain a valid driver's license and a driving record (as maintained by the DMV) that is acceptable to the Institute's insurance carrier.
Some evening and weekend hours are required.

Physical and Mental Requirements:
Ability to maintain good concentration level while dealing with interruptions; attention to detail with emphasis on accuracy; capable of giving, receiving, and analyzing information, formulating work plans, and articulating goals and action plans.

Sitting in a normal seated position for extended periods of time. Standing for extended periods of time. Reaching and extending hand(s) or arm(s) in any direction. Finger dexterity is required to manipulate objects with fingers rather than the whole hand(s), or arm(s), for example, using a keyboard. Communication skills using the spoken word. Ability to see within normal parameters. Ability to hear within normal parameters. Ability to bend and stoop, for example, to file. Ability to move about. Ability to lift and carry short distances up to 25 lbs., for example, to lift or move tables (set up at events) as necessary, ability to drive locally and travel by airplane nationally. Occasionally, will be required to stand for prolonged periods of time at activities/events on and off-campus. Must be able to handle flexible hours, including some evening and weekend work when needed.
