POSITION ANNOUNCEMENT
Administrative Support Associate 5 Institutional Support

The Tennessee College of Applied Technology Nashville is accepting applications for an Administrative Support Associate 5, this a full-time position, Monday – Friday, 7:30 – 4:00 totaling 37.5 hours a week.

MINIMUM QUALIFICATIONS:

High school diploma or equivalent required; graduate of Technical Business Program, A.S. or B.S. preferred. Graduation from a standard high school or post-secondary training in an appropriate field and evidence of experience to perform the work successfully.

  • Knowledge of modern office practices, procedures, and equipment.
  • Ability to establish and maintain effective working relationships.
  • Knowledge of administrative procedures and filing systems.
  • Ability to express ideas clearly and concisely.
  • Office management ability.
  • Ability to take and transcribe dictation at a working rate of speed from notes and during meetings.
  • Skill in typing and word processing.

GENERAL REQUIREMENTS:

  • At the direction of the President or Vice President, corresponds directly over the telephone or in person with internal or external constituents, including senior officials.
  • Consults with other Coordinator of Finance/Human Resources, Vice Presidents, Department Heads, and others on matters of importance when the supervisor is away from the campus.
  • Research policies, procedures, and guidelines for President.
  • Prepares meeting agenda, attends meetings, keeps records, and prepares draft of minutes for review.
  • Makes travel arrangements, prepares for conferences, appointments, special events or other activities.
  • Summarizes programs, reports, or other information for the supervisor.
  • Creates requisitions through Jaggaer and is the back-up personnel for placing all orders.
  • Prepares reports for the Business Office such as but not limited to the Minority and Access and Diversity reports.
  • Manage the staffing process, including recruiting, interviewing, and hiring through Pageup.
  • Advanced knowledge of Microsoft Applications, as well as learn Banner.
  • Prepares the Bookstore tax report and submits payments quarterly.
  • Processes all DocUSign documents for the campus.
  • Maintain the contracts log.
  • Notarizes any documents for the campus (need to get certified if not already).
  • Provide support as needed in the Human Resource and Business Offices.
  • Performs other work as assigned.

Applicants possessing these qualifications have a good probability for success. However, applicants not possessing these qualifications should apply if they believe their training and experience will enable them to perform the work successfully. High school graduate or equivalent. Four (4) or more years’ experience in increasingly responsible secretarial position.

Prefer: TCAT knowledge, Microsoft applications and Banner.

SALARY: Commensurate with education and experience. Salary range $45,052-$54,062 Background check is required for this position.
