Position Summary & Responsibilities

Position Summary:

The Administrative Assistant will assist the Demonstration Project Director and CCBHC Program Manager to coordinate efforts to facilitate collaboration and communication between the Demonstration Project and the existing efforts to implement the CCBHC model in Kansas. The incumbent will communicate with external entities such as the CMHCs, Wheat State, Wichita State, and other public health entities to coordinate meetings and collect data/information regarding center progress in CCBHC implementation. The incumbent will assist with drafting progress reports, meeting notes, and site review packets. The incumbent will work with CMHCs and CCBHCs for scheduling of review visits, site visits, and other State needs.

Job Responsibilities may include but are not limited to the following:

Build and maintain relationships with the Association of Community Mental Health Centers (ACMHCK), and Community Mental Health Centers (CMHCs) Contacts to successfully implement the SAMHSA CCBHC model in preparation for application for the Demonstration Project. Represent KDADS to external organizations interested in the CCBHC model. Work with the technical assistants to coordinate meetings with external stakeholders to educate State and Local leaders about the CCBHC project in preparation for Demonstration.

In cooperation with the ACMHCK and Wichita State, provide/participate in regularly scheduled meetings/calls to learn what is working and existing challenges related to CCBHCs. Document the process to develop CCBHCs in alignment with the SAMHSA model with successes, challenges, gaps, and lessons learned in order to develop best practices for consideration. Develop open communication lines with any interested party to ensure KDADS is being represented and the CCBHC initiative is well understood across the State.

Work with the Demonstration Project Director to ensure data collected is properly entered into SPARS. Assist the Demonstration Project Director, technical assistant(s), quality assurance staff, and CCBHC team to organize and document center progress toward being certified as a CCBHC including, but not limited to, writing of reports, creation of presentations around CCBHC criteria, and facilitating calls and meetings between KDADS and external entities.

Monitor/track grant funding provided to the CMHCs/CCBHCs for CCBHC expansion and implementation. Submit invoices from CMHCs/CCHBCs for prompt payment. Using Excel, track expenses of the Demonstration Grant and other grants to provide an audit trail of expenditures. Ensure compliance with all aspects of grant administration.

Completes special projects and performs other duties as assigned including but not limited to ensuring the agency is adequately staffed during and immediately following natural and/or manmade disasters, infectious disease outbreaks, and/or acts of terrorism. Assists other employees in the work unit in accomplishing assignments as necessary.

Qualifications

Minimum Qualifications:

  • High School Diploma/GED

  • Two years of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.

  • Knowledge and passion for mental health (particularly of mental health system in Kansas)

  • Strong communication and writing skills

  • Experience with Microsoft Excel and/or budgeting

  • Travel Required (up to 40%)

Preferred Qualifications:

  • Associated Degree in Communication, Social Work, Public Affairs, or Business

  • Experience of grants management or experience working on federal grants

  • Experience working with public health, social services, or Community Mental Health Centers

  • Extensive knowledge of and experience with issues surrounding behavioral health services and social services
