Background
ITMS, Inc. is providing onsite administrative support for Naval Facilities Engineering Systems Command (NAVFAC) Headquarters, Business Directorate, 1322 Patterson Ave, SE, Bldg 39, 1st floor at the Washington Navy Yard, DC 20374-5065. The candidate shall provide administrative services that meet the needs as described below.

ITMS is hiring for four (4) Administrative Specialists to support Total Force Directorates (BD1): (1) BD10 (Military Programs), (2) BD133 (Workforce Relations), (3) BD131 (Staffing and Employment), and (4) BD17 (Workforce Development).

The HQ BD1 provides Functional Area (FA) leadership and direction for NAVFAC's BD1 programs across the NAVFAC enterprise. The candidate will routinely interact with the BD13 (Civilian Human Resources) FA Leaders and may also interact with other BD1 FA Leaders. The candidate may infrequently interact with members of the SES within the command, flag officers, senior Navy and Department of Defense leadership and Congressional staff offices.

Responsibilities

  • Correspondence Management ? Responsible for reviewing and assigning tracking numbers and routing correspondence for internal consistency IAW the Navy Correspondence Manual or other governing guidance and ensuring proper clearance has been obtained. Responsible for serializing/dating and copying signed correspondence and returning the original to its originator. Reviews, prepares packages, and routes Command instructions/directives/award nomination packages for government personnel technical review. Deliverables shall be presented as draft until accepted by the Government. Responsible for forwarding documents such as award letters, citations, plaques via appropriate means such as FedEx, United States Postal Service, etc.
  • Tasker System ?Responsible for managing, tracking, and coordinating tasker system packages and correspondence received by various internal and external entities including HQ, subordinate commands, and other Department of the Navy commands and following up on due dates, running weekly tasker status report to ensure all assigned taskers are completed within the given suspense date. This effort includes sending out reminders to BD Functional Area leaders and supervisors responsible for the tasker and loading response in the tasker system accordingly.
  • Document Management ? Serves as the document manager in managing the HQ BD Instructions/Directives Repository. This effort includes loading signed instructions/directives/guidance into the BDs SharePoint Online Webpages and Document Library. Responsible for scanning and filing electronic/hard copies into a central repository and managing, filing, uploading, updating, and tracking electronic artifacts.
  • Typing & Correspondence ? Type a variety of documents such from draft to final version using a personal computer. These documents require the production of memorandum, reports, forms, spreadsheets and similar material and require proofreading for grammatical and spelling errors. Responsible for preparing routine non-technical letters and approve form letters.
  • Office Automation ? Expert ability to use a wide variety of computer software programs and systems to develop spreadsheets, manipulate data, produce professional briefs of results and analyzes trends.
  • Logistics, Planning, and Coordinating ? responsible for making appointments and arranging for meeting rooms, coordinating HQ Quarterly Awards Ceremony logistics with the front office, scheduling recurring appointments without prior approval from supervisors, assembling and disassembling conference materials, flyers, booklets and handouts.
  • Program Management Assistance ? Responsible for assisting government personnel in providing a broad range of advisory services, assistance and program management on various HR programs including program assessment, performance management, metrics, reporting and trend analysis, developing statistical and narrative reports, and developing strategic plans and evaluation criteria that supports the integration of workforce issues into a strategic- planning process.

Qualifications

  • High School diploma or equivalent is required. College degree is preferred.
  • A minimum of five years of work experience in a professional office environment
  • Intermediate skills and experience in office automation software including: Microsoft Teams, Word, Excel, PowerPoint, Outlook, SharePoint (SP), SP Online, Access, Planner, and Visio
  • Experience with Human Resources Information Systems (HRIS) similar to eAWPS, Human Resources Link (HRLink), Defense Civilian Personnel Data System (DCPDS), Total Workforce Management System (TWMS) and other information/tracker systems such as Enterprise Task Management Software Solution (ETMS2).

Work Hours
Normal 40-hour work week, Monday through Friday. The candidate may be required to provide excess support services to ensure completion of tasks above and beyond a full-time schedule.
