The Kline School of Law Admissions Team is actively seeking a dynamic, customer service oriented Administrative Specialist. Working closely with the Assistant Dean for Enrollment Management and the Associate Director of Admissions, the Admissions Office Administrative Specialist will be responsible for providing administrative oversight and support to the Office of Admissions at the Drexel University Kline School of Law. The Administrative Specialist will supervise the daily operations of the Kline Law Admissions Office, serving as the first point of contact for all visitors and ensuring positive, informative interactions with all Admissions stakeholders. Additionally, they will manage, develop, review, and improve all administrative responsibilities and tasks for the Admissions Office including processing admissions applications, managing bulk mailings, handling purchase requests, preparing travel reimbursements, and more.

Job Summary

Working closely with the Assistant Dean for Enrollment Management and the Associate Director of Admissions, the Admissions Office Administrative Specialist will be responsible for providing administrative oversight and support to the Office of Admissions at the Drexel University Kline School of Law. The Administrative Specialist will supervise the daily operations of the Kline Law Admissions Office, serving as the first point of contact for all visitors and ensuring positive, informative interactions with all Admissions stakeholders. Additionally, they will manage, develop, review, and improve all administrative responsibilities and tasks for the Admissions Office including processing admissions applications, managing bulk mailings, handling purchase requests, preparing travel reimbursements, and more.

Essential Functions

1. Provide administrative management and support for the Admissions Office, including but not limited to:

  • Supervise the daily operations of the Admissions Office – handling phone calls, emails, in-person visitors; assisting with in-person and virtual events; scheduling of tours, class visits, information sessions
  • Serve as a first point of contact and liaison between the Admissions Office and prospective students, current students, university administrators, faculty, and all visitors to the Admissions Office
  • Ensure positive, informative, and accurate interactions via phone, email, or in-person with prospective students, admitted students, faculty, staff, and all other constituents – responsible for answering front line admission questions in-person or electronically
  • Assist with planning and execution of admissions-related events, such as Open Houses, Admitted Students Days, Recruitment Fairs, and more
  • Oversee the scheduling of tours, information sessions, and interviews for prospective students to the law school

2. Manage, develop, review, and improve all administrative responsibilities and tasks for the Admissions Office:

  • Process and update all law school applications in admissions databases
  • Manage bulk mailings
  • Make purchase and payment requests
  • Prepare travel reimbursement for team members
  • Register and provide payment for fairs, forums, panels, and other external events
  • Organize and manage project workflows where needed
  • Tend to administrative problems and inquiries where appropriate

3. Liaise with Kline School of Law stakeholders in Marketing & Communications, Finance
Diversity, Inclusion, and Student Life; Office of Career Strategies; Office of Student Affairs; Undergraduate Education; Online Learning; and all other faculty and staff both within the Kline Law and Drexel University on various tasks and projects as they arise
4. Read and evaluate law school applications.
5. Travel locally as needed for admissions related events.
6. Keep the admissions suite and admissions closet organized, tidy, and stocked as needed.
7. Other duties as assigned

Required Qualifications

  • Bachelor’s Degree
  • No experience required

Preferred Qualifications

1. Strong critical thinking skills
2. Careful attention to detail
3. Data entry experience and familiarity with software programs (i.e., word, excel, etc.)
4. Excellent written and oral communication skills
5. Exemplary customer service skills
6. A minimum of 3 years of experience
7. Experience with Microsoft Excel, Banner and Aces2 (or similar database systems)
