BASIC FUNCTION OF THE ADMINISTRATIVE PROGRAM ASSISTANT

The Administrative Program Assistant will perform general office duties including the management and maintenance of program records and files. Maintain effective relations with State and Federal agencies, local employers, and community groups.


RESPONSIBILITIES OF THE ADMINISTRATIVE PROGRAM ASSISTANT:

  • Maintain accurate program/service file records in compliance with internal and external reporting requirements.
  • Enter the consumer's information into CMS and print the face sheet for the file.
  • Review and organize files after service completion and inform the Performance Based Program Supervisor of any discrepancies.
  • Maintain file room organization and files in the corresponding file cabinet.
  • Review staff reports to ensure program compliance and if reports do not comply with the C-CARE/DORS-BRS guidelines, send them back to staff for review. Staff is expected to send back the report to administrative program support with revision(s). Inform Performance Based Program Supervisor as needed.
  • Assist Performance Based Program Supervisor with authorization/billing. Gather reviewed report, direct services hours, and authorization. Ensure that the authorization timeframe coincides with the dates of the services and that direct services hours concur with the consumer's working hours. Provide billing to the program supervisor.
  • Maintain accurate records of sites developed by staff and note the information in the agreeing file of the C-CARES shared folder.
  • Communicate with VR counselors, consumers, and job sites as assigned (Job coaching, Onboarding Support).
  • Assist Performance Based Program Supervisor with monthly and other reports as needed.
  • Assist with client assessment and training.
  • Assist with client scheduling.
  • Keep track of supplies needed, e.g., copier paper, file folder, etc., and provide to program supervisor.
  • Other related duties as assigned.
  • Prepare orders for supplies and supports for department and clients.
Requirements:

REQUIREMENTS FOR ADMINISTRATIVE PROGRAM ASSISTANT:

  • Associate Degree in Social Services or other related field preferred.
  • Will consider similar combinations of education/work experience.
  • Minimum 2 years clerical/social service experience preferred.
  • Experience with MS Office applications (Excel, Word, Access, Publisher) required.
  • Bilingual Preferred
