Position Summary
At Stony Brook Medicine, an Administrative Coordinator is a valuable member of our Planning team who will provide administrative support to the team and manage daily office operations. The candidate will be responsible for communication with staff, faculty, and individuals outside of SBM.
Qualified candidates will demonstrate superior communication and organization skills and the ability to multitask while adhering to our high standard of excellence and collegiality.
Duties of an Administrative Coordinator for Planning may include the following but are not limited to:
  • Maintains all office functions for the Department.
  • Assists in budget preparation and control including processing budget transfers, full responsibility for all purchase requisitions and tracking for the Planning Department.
  • Coordinates office services for the Director of Planning as well as other members of the department management staff (i.e.: meetings, calendar, requisitions, mailings, office supplies, travel and education arrangements and reimbursements).
  • Provides full administrative support services, including taking and transcribing minutes for Planning meetings, as needed.
  • Other duties as assigned

Qualifications:
Required Qualifications: Associate's degree and at least 2 years of relevant administrative experience. Proficiency in Microsoft Word, Excel and Power Point. Strong verbal communication and computer application skills.

Preferred Qualifications: Experience in budget preparation and control including processing budget transfers with full responsibility for all purchase requisitions, including tracking of departmental expenditures. Experience with administrative support services including taking and transcribing meeting minutes for committees, including preparation of committee packets and meeting arrangements. Experience with Microsoft Outlook regarding meeting scheduling including calendar maintenance. Experience with maintaining office supplies, travel and education arrangements/reimbursement. Previous experience in the use of KRONOS, Lawson, Concur, Taleo, and/or Staples.

Candidates who are partially vaccinated, but not yet fully vaccinated, must complete their vaccination series within three (3) calendar days of a job offer or in accordance with that particular vaccine manufacturer’s protocol, whichever comes later.

The state regulation also includes those who may be affiliated with or interact with employees of a hospital or nursing home. The regulations allow for limited exemptions with reasonable accommodations, consistent with applicable law.

.Posting Overview: This position will remain posted until filled or for a maximum of 90 days. An initial review of all applicants will occur two weeks from the posting date.   • Successfully complete pre-employment physical examination and obtain medical clearance from Stony Brook Medicine's Employee Health Services*
  • Complete electronic reference check with a minimum of three (3) professional references.
  • Successfully complete a 4 panel drug screen*
  • Meet Regulatory Requirements for pre employment screenings.
  • Provide a copy of any required New York State license(s)/certificate(s).

Failure to comply with any of the above requirements could result in a delayed start date and/or revocation of the employment offer.

  • The hiring department will be responsible for any fee incurred for examination.
