Job Description:

The Administrative Coordinator role has a dual focus of providing a welcoming environment for clients while also supporting the ongoing operations of the firm. This role is often a first point of contact with clients through either phone calls or welcoming them in person. Additionally, Administrative Coordinators handle operational activities including:

- Preparation of detailed meeting data packets.

- Logging of daily correspondence.

- Preparation and processing of account / transaction paperwork.

- Invoice payment and logging.

- Filing and retrieving records accurately.

- Maintaining office supplies inventory.

- Scheduling appointments / managing calendars.

- Successful execution of self-directed projects supporting important business processes.

A successful Administrative Coordinator must be able to maintain an extremely high level of accuracy in a fast-paced environment. This often involves shifting timelines and priorities in response to client and team member needs.

Qualifications

- Attention to detail and accuracy while multi-tasking in a fast-paced environment.

- Ability to maintain confidentiality of business processes and data.

- Experience with Salesforce.com is a plus.

- Proficient with Microsoft Office and general computer usage.

- Strong communication and interpersonal skills

- Ability to remain organized and focused while prioritizing deadlines.

- Positive attitude

- Strong learning agility – ability to apply skills in a new setting with well-established processes and procedures.

- Reliable and consistent in judgement and quality of work.
