SUMMARY

The role of the Administrative Coordinator is to support operations management of medical facilities.

ESSENTIAL DUTIES AND RESPONSIBILITIES Includes but not limited to the following:

  • Responsible for timely execution of responsibilities
  • Collaborates with leadership to foster a success-oriented, positive, high integrity organizational culture
  • Managing special projects or new workflow roll-outs
  • Supports leadership and regularly works with confidential or sensitive personnel information or other organizational matters
  • Support quality and efficiency improvement efforts with a primary focus on the medical group’s priority initiatives
  • Provide clinic tours to groups such as new hires, students, externs
  • Perform regular facility site walkthroughs with management and coordinate maintenance, repairs, building improvement projects with property management group
  • Prepare uniform vouchers for new employees and manage the twice-yearly voucher distribution process
  • Oversee SVMC logo jacket ordering process for one-year anniversaries
  • Performs duties such as invoice processing, office meeting agendas and other correspondence
  • Orders office supplies, maintains conference room calendars and scheduling
  • Ensure employees receive adequate training and ongoing education
  • Schedule meetings, interviews, and education activities for doctors and staff
  • Maintain employee vaccine documentation
  • Maintain Employee MedTrainer files
    • Assign CPR courses when due
    • New hire and vaccines (yearly)
    • PPD (new hires, yearly)
    • N95 FIT testing (initial and yearly)
    • E-mail managers the report of employees past due on courses monthly
  • Maintain ADP files
  • Other duties as assigned by senior management

EDUCATION and/or EXPERIENCE

  • Bachelor’s degree preferred
  • High School or GED required.

PREFERRED

Bilingual may be required at certain clinics or during certain shifts.

SUPERVISORY RESPONSIBILITIES

The role of the Administrative Coordinator has no supervisory responsibilities although the individual in this role is expected to represent the management team. Based on development plan, the Administrative Coordinator participates in personnel actions and is involved in management level discussions and information.

CONDITION OF EMPLOYMENT:
Due to the state mandate for Healthcare Workers, we will require you to prove that you have received the COVID-19 vaccine or have a valid religious or medical reason not to be vaccinated. In addition, Healthcare Workers must receive a booster dose of the COVID-19 vaccination by March 1, 2022 or 15 days after becoming eligible (whichever date is later).
