POSITION SUMMARY

  • Assistant's primary responsibilities to include ticket reconciliation using Welltraxx ticket listing, and 3rdparty ticketing information
  • Reconcile all monthly tickets against information provided by 3rdParty ticketing group
  • Make any ticket corrections needed by producers and/or managers
  • Review all tickets from the previous day to ensure that all tickets are completed and coordinates any corrections or follow up as needed
  • Verify rejects, no loads and dropped loads
  • Update special instruction notes and directions in Welltraxx
  • Process and maintain dispatch department documents, files and information
  • Ensure timely and accurate relaying of messages or information to and from dispatchers and managers
  • Must be fluent in Microsoft Office products such as but no limited to Excel and Office
  • Must be able to work with a team

Including performing duties such as word processing, creating spreadsheets, answering phones and filing. The position requires the ability to work with multiple projects and address issues under the guidance of a supervisor and or established procedures. This position will be required to communicate with management, peers, vendors and clients in writing, by telephone or e-mail. The ability to organize, plan and prioritize assigned duties to accomplish work as needed.

EDUCATION REQUIREMENTS

  • High School Diploma or equivalent required

EXPERIENCE REQUIREMENTS

  • Should have a minimum of two (2) years of administrative assistant experience
  • Must have demonstrated skills and computer software knowledge with Microsoft Excel, Word and Outlook
  • Demonstrated organizational skills required
  • Knowledge of receivables and payables, record retention, filing both electronic and paper, and mailing required
  • Fluent in English, oral and written required
  • Ability to interact with all levels of employees, contractors and agency representatives
  • Ability to handle confidential materials and maintain confidentiality
  • Ability to adjust to frequent change and occasionally adjust schedule as needed to reach Departmental goals
  • Ability to occasionally adjust work schedule

MAJOR ACCOUNTABILITIES

  • Month end Ticket reconciliation
  • Assist with administrative functions for Supervisor and management
  • Regularly collaborate with department staff to ensure messages are received and administrative management deadlines are communicated
  • Schedule meetings, maintain correspondence and other administrative tasks as requested by supervisor
  • As needed, prepare written communication of notices for internal distribution
  • Regularly communicate with supervisor assigned work progress, questions and concerns
  • Other special projects as assigned

  • Maintain accurate and timely receipt of all tickets.
  • Maintain current updated files
  • Effective and efficient preparation and processing of other duties
  • Effective and efficient use of time to prevent overtime for other administrative positions and to reduce office fatigue
  • Adherence to all company policies and procedures
