Job Duties

This position serves as Administrative Assistant to Chief Nurse Executive (CNE) and Integrated Services.
  • The Administrative Assistant will serve as receptionist for Department of Nursing by greeting visitors, providing information, receiving and making telephone calls pertaining to a wide variety of issues.
  • Will inform the Chief Nurse Executive, Assistant Chief Nurse Executive and nurse supervisors of any urgent calls or information received which requires immediate attention.
  • The Administrative Assistant will relieve the CNE of various details associated with scheduling of appointments, providing materials for meetings, preparing inter-office and intra-office memorandums, which require a working knowledge of programs, policies, and procedures.
  • Maintains files in Nursing Office, including inter-office, interagency and outside the agency correspondences.
  • Prepares travel request forms for the CNE, ACNE, Supervisors, and Nursing employees including making transportation, registration and lodging accommodation arrangements.
  • Prepares and types written materials with little supervision and on own initiative, making copies and distributing final documents.
  • Collaborates with Nursing Educator on maintaining all nursing policy and procedure manuals for additions/changes.
  • Maintain licenses for nursing staff by checking for expiration and delinquency.
  • Serve as backup for the Facility Director's Executive Assistant and Medical Services Administrative Assistant as needed for basic office duties.
  • Other duties assigned

Minimum Qualifications

  • Some college business courses including computer training and office management courses.
  • Skills in Microsoft Office and Excel
  • Considerable knowledge of office procedures, medical terminology, timekeeping, scheduling and computer technology

Preferred Qualifications:

  • Previous work experience in managing the operations within an office and working with others in medical/hospital setting
