Responsibilities (Essential Functions):

  • Prepares legal documents for execution by the Tenant and Landlord. Prepares cover letters, copies and distributes leases and documents.
  • Manages landlord signature process for legal documents, including notarization of documents and electronic execution via DocuSign.
  • Processes executed documents using DealForce, OnBase, Net Documents, and other software programs in use from time to time.
  • Scans documents, maintains and archives files per department procedures.
  • Prepares initial drafts of memorandums, letters and contracts for Leasing Counsel & Paralegals as needed.
  • Researches status of documents within Tenant’s legal department files.
  • Assists leasing representatives with tracking files and status of deals.
  • Tracks notices received by the Legal Department and regularly follows up with the assigned team member to ensure timely response and completion.
  • Supports Outside Counsel with preparation of legal documents, tracking deal status, and other administrative tasks as required.
  • Manages daily departmental mail distribution in addition to occasional mass mailing projects.
  • Serves as backup for other departmental administrative assistants.
  • Schedules occasional meetings and conference calls using Outlook, Zoom, and Teams.
  • Makes occasional travel arrangements and prepares Concur expense reports.

Skills (Desired Abilities):

  • Strong organizational skills.
  • Good knowledge of general office practices and business English
  • Excellent computer skills, especially in MS Word, Excel, Access and Outlook, FedEx and mail merge
  • Excellent grammar and written and oral communication skills.
  • Demonstrated ability to work collaboratively on a team.
  • Must exercise good business judgment, discretion and maintain confidentiality.
  • Must be well organized, able to prioritize and multi-task, detail oriented, skills, and be able to communicate with senior-level executives, the public, and co-workers.

Qualifications (Education and Experience):

  • Associate’s degree or commensurate office experience in a legal or real estate environment.
  • Minimum of two (2) years of experience in the performance administrative responsibilities.
  • Real Estate and/or Legal terminology preferred.
  • Must be conscientious and detail oriented.
  • Notary certification preferred.
