The Administrative Assistant is a polished, professional with a service-oriented demeanor. The ideal candidate has an aptitude for working in collaborative international team environments with a focus on professional maturity, proactive communication, relationship-building skills, and resiliency.

Responsibilities include Reception, General Administrative, and Human Resource Support

  • Greet all guests & visitors to the building and maintain a clean and welcoming environment
  • Provides non-routine project-based and administrative support to Senior-level management and Human Resources, handling competing requests that require professional discernment on appropriate urgency/prioritization to complete.
  • Provide calendar support with effective communication across various stakeholders (especially Administrative colleagues) throughout the company.
  • Coordinate, schedule and manages administrative responsibilities for meetings, events, job fairs, and community involvement initiatives for Associates and Leadership.
  • Assists in preparing presentations, notices, and flyers based on information compiled from various sources on a regular basis.
  • Assist with onboarding new hires and equipment, assisting with annual HR events related to compliance, wellness, and open enrollment.
  • Telephone reception duties include screening and routing incoming calls, and monitoring call-out messages. voicemail
  • Displays a working knowledge of the company's a product/service + mission-critical goals and assists with the implementation of systems/processes that the company needs to operate effectively and achieve optimal success.
  • Work as a collaborative team member with peers to help level-load work; take initiative to understand the unspoken need and deliver proactive customer service to Associates, Leadership Team and the public.
Qualifications


Qualifications

  • Advanced working knowledge of Microsoft Office Suite (i.e. Word, Excel, some PowerPoint, and shared collaborative tools such as SharePoint and OneDrive for Office 365)
  • A Self-starter mindset that takes initiative to continuously improve processes for the ongoing effectiveness of the leadership team and company.
  • Strong communication skills, verbal and written.
  • 3+ years of progressively responsible and successful Administrative Assistant experience in dynamic environments
  • Marketing and social media a plus
  • Associate degree preferred
