Position Summary
Reporting to the Director of IT Business Services, the Administrative Assistant works with the Admin & Fiscal Coordinator to provide administrative support for the business and financial functions of a department of approximately 110 employees. Primary responsibilities include but are not limited to:
  • Processing payments and invoices, and reconciling transactions.
  • Ordering catering and assisting with logistics for departmental meetings and functions.
  • Preparing, editing, and organizing department documents.
  • Scheduling committee meetings, candidate interviews, and other meetings for department staff.

Required Qualifications
  • High school diploma or equivalent.
  • Working knowledge of general office practices and procedures, including customer service techniques.
  • Working knowledge with maintaining calendars and schedules.
  • Experience with Microsoft Office Suite 365 products.
  • Demonstrated ability to effectively organize, prioritize, and navigate competing priorities while providing a high level of attention to detail and accuracy.

Preferred Qualifications
  • Post-secondary education such as an associate’s or bachelor’s degree.
  • Experience providing administrative support to a technology department or organization.
  • Working knowledge of W&M systems such as Banner, Qlik, America to Go, Jaggaer/BuyWM, and Chrome River.
  • Experience successfully maintaining group calendars, web pages, and distribution lists.
  • Working knowledge of Virginia’s small purchase charge card program & Voyager fuel card system.

  • This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times etc. as directed and approved by the supervisor.
