Summary

The Gerald R. Ford School of Public Policy is looking for an Administrative Assistant to support the activities of our Communications & Outreach and Alumni Relations teams. You will report to the Director of Communications & Outreach, with additional guidance from the Assistant Director of Alumni Relations.

Responsibilities*

  • Communications support: photo management, stock art coordination, managing headshot logistics for faculty and staff, managing the digital signage system, coordinating advertising space and payments, managing contact lists through Mailchimp, providing administrative support for our bi-annual print magazine, and managing inventory and ordering of the items in the School’s spirit store
  • Administrative support: front-line reception for students, faculty, vendors, and others visiting the office; primary telephone coverage; meeting scheduling; database management; copy editing; updating websites; travel reimbursements and other payments; managing calendars and travel; supply ordering; office space management; and other related tasks.
  • Alumni relations support: administrative management of the Alumni Board, including annual meetings and elections, manage alumni data using the DART database, and general administrative duties
  • Events support: coordinate meetings and events logistics, prepare materials (name tags, posters, mailings, etc), and on-site support

Required Qualifications*

  • Associate’s degree or an equivalent combination of education and experience
  • 2+ years of administrative experience
  • Experience using databases
  • Proficiency with Google Suite products, Office products, and Adobe CS
  • Demonstrated attention to detail and the ability to manage multiple tasks, exercise initiative, and practice diplomacy and confidentiality.
  • Excellent organizational and communication skills, including the ability and commitment to working with a diverse community of students, faculty, staff, and visitors of the Ford School and the University of Michigan.
