Summary Responsible for providing administrative support to the Chief Human Resource Offices as well as handling project assignments and support for the HR management team. This position requires an important level of discretion and confidentiality and the ability to manage relationships both internally and externally.

Essential Duties and Responsibilities include the following. Other duties may be assigned

  • Coordinates and prioritizes workflow to support the CHRO and other HR management as needed
  • Schedules meetings, prepares meeting logistics, maintains calendar, and assigns tasks
  • Assist with planning the annual budget for HR Department
  • Serves as a liaison between CHRO and outside entities
  • Prepares and modifies documents including correspondence, reports, drafts memos and emails
  • Proofread complex Human Resources documents, establish, and maintain filing systems, compiles information, reports, and spreadsheets
  • Handle sensitive/confidential information requiring an important level of discretion
  • Provide assistance to staff from other departments regarding HR responsibilities
  • Handle multiple projects simultaneously
  • Reviews incoming HR mail and logs/distributes to appropriate area
  • Ensures CHRO related invoices are coded and paid timely
  • Schedules town hall meetings for the company
  • Sends monthly reminder notices to Director level management regarding company car program
  • Creates and updates PowerPoint presentations for various executives.
  • Responds to and resolves administrative inquiries and questions
  • Answers and transfer phone calls, screening when necessary.
  • Handles requests for information and data.
  • Works collaboratively with management on special committees and coordinates employee activity events.

Education and/or Experience The knowledge, skills and abilities are typically acquired through the completion of a high school diploma or a general education degree (GED); two to three years’ experience as an administrative assistant, Human Resources experience desired.

Language Skills Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence.

Computer Skills To perform this job successfully, an individual must have intermediate skills in Microsoft Office Products: Word, Excel, PowerPoint, and Publication.
